How do I submit photocopies for ERes?
A:
In order for the Library to comply with copyright guidelines and accurately place materials on reserve, please submit a completed ERes Copyright Clearance Form for each article request for electronic reserve.   Save the form directly to your computer, complete and print it.  Attach clear, unstapled photocopies with accurate bibliographic information (or photocopied title page) and statement of copyright ownership.  The quality of the original is vitally important.   The Library cannot accept sizes other than 8 1/2 x 11.   Single or double sided reprints can be processed.   Photocopies with attached permission forms can be delivered to the Circulation Desk at the Main Library, faxed to Docufax (802-443-2836) or sent via campus mail to Reserve Department, LIS.
2:
How do I submit items that Middlebury subscribes to electronically?
A:
You do not need to print out the hard copy of the article.   Simply email the request with the complete bibliographic information to Library Reserve.  We will link directly to the article from the ERes page.
3:
Can I use articles that are already in electronic format?
A:
Yes!  You may e-mail web links or electronic documents already in .pdf format to Library Reserve.   Please include faculty name, course information, and complete bibliographic information in the e-mail.
4:
I would like to reactivate materials that were on ERes during a previous semester. Is that possible?
A:
Yes!
There is no need to resubmit the photocopies; we will use the .pdf file previously created.   Files are kept for a two year period.   Please contact Library Reserves to reactivate your materials.
5:
Are all materials suitable for electronic reserves?
A:
Due to copyright restrictions, some materials cannot be posted on electronic reserves.   Published works in their entirety may not be placed on electronic reserves.   Images cannot be processed at this time.   Diagrams and simple sketches will be retained, but photos will be deleted.   Words appearing in gray shaded areas will not reproduce electonically.

Materials that cannot be scanned for electronic reserve can be placed on traditional reserve.   A request can be made to reference the hard copy reserve item on the ERes page.

Please email Library Reserves or call 802-443-5495 with specific requests.

6:
How long does it take for reserve material to be reproduced electronically?
A:
Electronic reserve materials are processed on a first-in, first-out basis.   Please allow a one week lead time for materials to appear on your electronic reserve course page.  You may request to have items posted sooner, but this will depend entirely on staff availability.
7:
Can I submit all my materials for ERes at once
A:
Yes!
If the entire semester readings are submitted at the beginning of the semester, please prioritize and identify the readings needed during the first four weeks.
8:
How will I know my coursepage password?
A:
When the first electronic reserve document request is submitted for a course during a particular semester, the ERes course page is created.   The ERes manager will notify you by email of the password for the course.   The Library requires that all passwords follow the consistent algorithm for the semester.
9:
Can I have permission to manage my own ERes pages?
A:
Yes.  Contact library_reserve@middlebury.edu to set up an ERes account.  We will create your ERes pages (or restore previously used coursepages), and show you the management functions of ERes.   Administrative privileges allow you to restore your old documents to current pages, add new documents and links, and create folders to organize your pages.  You will also have the ability to view statistics to see how frequently specific items are being accessed within Docutek ERes.
10:
How do I learn to manage my own ERes pages?
A:
11:
DocuFax is new, how does it work?
A:
Articles can be faxed (802-443-2836) directly into our ERes system.   If you are managing your own page, faxed documents will appear in your own staging area (please be sure you use only the documents in your own staging area).  If you want the Library to add the faxed document, please include the ERes Copyright Clearance Form with your fax.  Clear, readable photocopies are especially important for materials that are faxed.   For fax requests, please email Library Reserve to alert us of the fax submission.   In the email, it is imperative to include date and time when fax is sent to identify the item in the staging area of the Docufax system.   Otherwise, documents will be added in the order received.
12:
What about Copyright?
A:
For the first semester's use, a small percentage of materials from a source not owned by Middlebury is considered "fair use".   The Library will secure copyright permission for materials as needed.  You will be notified if your materials do not meet copyright guidelines, and your understanding is appreciated.

Please refer to Resources on Copyright Regulations and the Copyright Guidelines in Middlebury College Handbook for additional copyright information.
