Subject: Email Downtime this weekend
Dear Colleagues:
On March 8th, 2008 beginning at 9:00pm, Library and Information Services will be migrating mailboxes to our Microsoft Exchange Server 2007. During the migration process, your mailbox will be unavailable and you will be unable to receive or send messages. The length of the downtime for each particular mailbox will depend on the size of the mailbox. Hence, users with larger mailboxes should expect a longer downtime for their mailbox. The downtime will affect users of all e-mail programs (Outlook, Entourage, as well as others), including WebMail. We estimate each users mailbox will be unavailable for between 45 and 60 minutes. Please contact us if this timing will not work for you so we may schedule this at a more convenient time within the next week.
Users of POP3 and IMAP clients, as well as Microsoft Outlook, do not need to make any changes after the upgrade is complete. Users of Entourage should follow the instructions from an earlier message titled "Serious Bug in Microsoft Entourage (Macintosh Users)". A transcript of that message, with the accompanying attachment, can be found on the web page http://www.middlebury.edu/academics/lis/help/helpdesk/alerts/. Both Microsoft Outlook and Entourage users should close these programs before the upgrade commences, to avoid errors. Please note that the WebMail interface will be different after the upgrade. During our testing, it was noted that users will not be able to “Recover Deleted Items” after the mailbox has been migrated. Your “Deleted Items” folder migrates with its contents intact. If there are items you have removed from your “Deleted Items” folder you want migrated, you must recover them to the Deleted Items folder prior to the mailbox migration.
These upgrades to our e-mail system are performed because they increase its security and stability, in addition to adding new and improved features that will better serve the community. This upgrade will also increase the default e-mail quota for every user in our community: Student mailboxes: 500MB; Faculty/Staff mailboxes: 1GB.
All e-mail messages sent to you during the downtime will be queued and delivered when your mailbox becomes available.
