Pressing this button will open the Document Manager dialog, which can be used to link to documents that have already been added to the Resource Gallery using the Resource Manager, or to add documents to the Resource Gallery. To create a link in content to a document in your Resource Gallery, highlight the text you want to use for the link in your content and click the Document Manager button. Browse Files

The Browse Files tab allows you to look through Resource Galleries you have access to for files you can insert links to in your content. The pane on the left shows the directory structure of the Resource Galleries. Your list will appear differently depending on which galleries you have access to and where you are editing on the CMS. Click the plus (
) button next to a directory (
) to expand it and see any directories or files inside. Click the minus (
) button next to a directory to collapse it and hide its contents. Click on a file such as a JPEG image (
) or PDF (
) to select it. Once selected, the system path to the resource will appear in the Document File text box. Do not modify the text in the Document File text box.
Refresh Resource List
The Refresh button above the list of Resource Galleries can be used to fetch the most recent list of files in the Resource Galleries. This is useful if you believe a colleague has added a Resource during the time you've been using the Document Manager and you want to add it to your posting. While this button will fetch the current list of files, it will also collapse all expanded directories in thelist of Resource Galleries.
Delete a Resource
The Delete button above the list of Resource Galleries can be used to remove a resource from a Resource Gallery. Click on the Resource in the list and then click this button to delete the Resource. A confirmation dialog will be displayed to assure that you wish to remove the Resource. This button should be used with caution. Deleting a Resource from your Resource Gallery will cause any links to that Resource in any posting's content anywhere on the CMS to break. Confirm with all Content Managers and Authors in your area before deleting a Resource.
Change List Types
We believe these buttons are intended to change the way the list of Resource Galleries is displayed. However, they are not mentioned in the documentation of the tools application we are using and clicking on them doesn't seem to produce any meaningful effect. We recommend that you don't use these buttons.
Tooltip
Text entered in the Tooltip text box will be shown in a small dialog window when the user moves their mouse cursor over the hyperlink in the content. This is also helpful for usesrs with screen readers, to provide a longer description of the destination content than is contained in the Link Text text box.
Target

The Target drop down dialog allows you to choose different actions that will occur when a user clicks on this link. However, only two of the options in this dialog should be used on the CMS: Target,which leaves the Target text box blank and acts as a normal link, and _blank, which will open the link in a new browser window. One method used is to use Target with internal CMS links and _blank with links to other sites, but this is neither a requirement, nor a standard for CMS hyperlinks. DO NOT USE ANY OPTIONS IN THIS DIALOG OTHER THAN _blank AND Target:. However, for reference, we explain each of the options below. Target:
Selecting Target: from the Target drop down will leave the Target text box blank and treat this as a normal hyperlink, which loads in the same window as its source. This is the default option and should be used in most cases. _blank
Selecting _blank from the Target drop down will insert the text _blank in the Target text box. This will cause the hyperlink to open in a new browser window when a user clicks it. This should be used with discretion.
_parent
Selecting _parent from the Target drop down will insert the text _parent in the Target text box. Although it says _parent,this attribute causes the link to load in the containing frame of an HTML frameset, or the same window if no frameset is present. Since we do not use framesets on the CMS, this will have no actual effect on the hyperlink. Still, to prevent potential conflicts in the future we ask that you do not use this option. _self
Selecting _self from the Target drop down will insert the text _self in the Target text box. In the content area of the CMS, this will no have actual effect. The link will load in the same window, just as any other link. This attribute is used in other sections of HTML documents that cannot be modified with the CMS. Still, to prevent potential conflict in the future we ask that you do not use this option.
_top
Selecting _top from the Target drop down will insert the text _top in the Target text box. Although it says _top, this attribute causes the link to load in the topmost frame of an HTML frameset, or the same window if no frameset is present. Since we do not use framesets on the CMS, this will have no actual effect on the hyperlink. Still, to prevent potential conflicts in the future we ask that you do not use this option. _search
Selecting _search from the Target drop down will insert the text _search in the Target text box. This attribute will open the link in Internet Explorer's search pane. Because this feature is only applicable to Internet Explorer and we support many different browsers on the CMS, we require that you do not use this option. _media
Selecting _media from the Target drop down will insert the text _media in the Target text box. This attribute will open the link in Internet Explorer's media pane. Because this feature is only applicable to Internet Explorer and we support many different browsers on the CMS, we require that you do not use this option.
Insert
Pressing the Insert button will close the Document Manager and link the highlighted text in the content to the Resource selected by the Document File text box.
Close
Pressing the Close button will close the Document Manager and will not link the highlighted text in the content area to any Resource.
Upload Attachment

The Upload Attachement dialog allows you to add documents to a Resource Gallery, similar to using the Add feature of the Resource Manager. Use the list of Resource Galleries in the Browse Files tab to navigate to the Resource Gallery where you would like to add a document, then click the Upload Attachment tab. The path to the Resource Gallery you selected will be displayed in the Directory text box. To select a document from your computer, click the Browse... button to the right of the File text box. This will open an open file dialog that is specific to your computer. Select the document you wish to upload from your hard drive or a network drive. When you select the file and open it, the local path to the file will be displayed in the File text box.
Overwrite existing files
If you are uploading a new version of a document that already exists in your Resource Gallery, make sure that the file names are the same and check the Overwrite if file with such name exists? check box. This will replace the old version of the file in the Resource Gallery with the new version of the file you are uploading. Known Bug: The Document Manager will not overwrite existing files, even if you have checked the Overwrite if file with such name exists?check box. If you want to replace an existing file in a Resource Gallery, you should use the Replace method in the Resource Manager instead.
Upload Restrictions
You cannot upload files larger than 5000KB or five thousand kilobytes (approximately 5MB or five megabytes). To improve the efficiency and size of your documents, read our guides on Optimizing Your Images for the Web and Optimizing PDF Documents.
Additionally, you can only upload certain types of documents using the document manager. The list of allowed file extensions is: - *.doc - Microsoft Word documents
- *.pdf - Adobe Acrobat documents
- *.xls - Microsoft Excel Spreadsheets
- *.ppt - Microsoft PowerPoint Presentations
Upload
Click the Upload button to upload the file in the File text box to the Resource Gallery in the Directory text box.
Local Attachment
Local attachments add Resources to the database representation of postings. This not only reduces the usability of the Resource by limiting it to a single posting, but once attached, these Local Attachments are difficult to remove from the database, leading to extra space being used on the server for documents that may not be in use any more. For these reasons, the Local Attachment tab is disabled. Use the Upload Attachment tab or the Resource Manager to add your documents to your Resource Galleries.
