Because we use Connected Postings to display profile information for people accross multiple departments, the Academic Profile you are viewing may be located in more than one place on the CMS. Each academic department has its own Resource Gallery and each of these galleries is managed by different people. If an item from one of these galleries were used on an Academic Profile, people in other departments would not be able to modify the posting to include information about how that faculty member was participating in their programs.

For this reason, Web Services has set up a special Resource Gallery for Academic Profiles. This gallery is shared by all people who have access to modify Academic Profiles. For this reason, there are some guidelines that we encourage you to observe when using this resource:
  • Be respectful of others' use of this Resource Gallery. Do not delete, rename, or replace items that were not put there by you.
  • Use descriptive file names. "john_smith_cv.pdf" is agood file name for John Smith's CV, whereas "cv.pdf" is not because there will likely be many CVs in this gallery.

Moving Existing Documents

We recognize that many of the documents you may wish to attach to a profile posting are already located in your Resource Gallery. Web Services can relocate these document to the new shared Resource Gallery for you so that they may be used in profile postings. Please let us know which files to move by giving us the file name and whethe you want to keep a copy in your department's Resource Gallery. We may decide to rename the file as part of moving it to avoid file name conflicts.

Adding Files Using the Resource Manager

The Resource Manager is the most common way to add files to a Resource Gallery and probably the one you are most familiar with. However, for these items, you will be using a different Resource Gallery than the default one for your department or program. Follow these steps to add a new file:

  1. Open Internet Explorer
  2. Browse to your site
  3. Scroll to the bottom of the page and click Log On; enter your login information
  4. Click on Faculty & Office Hours in the left hand column
  5. Click Switch to Edit Site in the Edit Console
  6. Click Resource Manager in the Edit Console
  7. You will see a tree of Resource Galleries in a new window. Click on the link named "offhours" which is in: /Resources/www.midddlebury.edu/ academics/acadinfo/offhours
  8. Click Add New...
  9. Click Browse to the left of Local Resource
  10. Locate the file on your file system and click OK
  11. Enter a Display Name and Description for the file, if you so desire
  12. Click OK

Your file is now ready to use within your profile postings using the Image Manager or the Document Manager. See the sections later in this document on including Resource Gallery items in your postings.

Adding Images Using the Image Manager

The Image Manager is typically used when you want to include a new file in a posting, but can also be used to upload files to a Resource Gallery. Here are steps to upload a new image using the Image Manager (note that this is an optional alternative to using the Resource Manager - use whichever method you like best):

  1. Open Internet Explorer
  2. Browse to your site
  3. Scroll to the bottom of the page and click Log On; enter your login information
  4. Click on Faculty & Office Hours in the left hand column
  5. Click on the name of the faculty member for whom you will be adding an image in the right column
  6. Click Switch to Edit Site in the Edit Console
  7. Click Edit in the Edit Console
  8. Click the Image Manager button  in the Edit Window
  9. In the Image Manager window, click the plus sign next to www.middlebury.edu
  10. Click the plus sign next to academics
  11. Click the plus sign next to acadinfo
  12. Click on offhours
  13. Click on the Upload Image tab at the top of the Image Manager window
  14. Click Browse... to the right of File
  15. Locate the image on your filesystem and click OK
  16. Known Bug: The "Overwrite file if file with such name exists?" checkbox does not work. Please use the Replace function of the Resource Manager instead.
  17. Click Upload

Your file is now ready to use within your profile postings using the Image Manager. See the sections later in this document on including Resource Gallery items in your postings.

Adding Documents Using the Document Manager

Note: These steps are identical to those in the above section on Adding Images Using the Image Manager except for step 8 where you click on the Document Manager button instead of the Image Manager button.

  9. In the Image Manager window, click the plus sign next to www.middlebury.edu
  10. Click the plus sign next to academics
  11. Click the plus sign next to acadinfo
  12. Click the plus sign next to offhours
  13. Select the file from the list of files under offhours. A preview of the image will appear in the preview pane to the right.
  14. Click Insert

Including Documents Using the Document Manager

Once you have added your file to the Resource Gallery by having Web Services move an existing document, uploading a new one using the Resource Manager or uploading a new one using the Document Manager, you can include that document in an Academic Profile using the Document Manager.
