Primary Purpose

The part-time Administrative Assistant will split time in order to provide administrative support to both the Associate Dean of Undergraduate Research and the Associate Dean of the College for all Undergraduate Research Office functions, and to the Director of the Alliance for Civic Engagement.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

  • Manages URO and ACE budgets, including the processing of vouchers and journal entries, and providing reports and updates for ACE grants awarded to students and faculty.
  • Provides administrative support for all aspects of the Spring Student Symposium including reservations, budget, materials, on-line application process and logistics as needed.
  • Develops and maintains URO website, and works with ACE staff to maintain the ACE website.
  • Receives and processes requests for information and materials from students, faculty and staff for both URO and ACE.
  • Schedules meetings as necessary for both URO and ACE.
  • Replenishes supplies as needed for both URO and ACE.
  • Assists Associate Deans and ACE Director in special projects and mailings as needed.
  • Provides administrative support for all aspects of the summer undergraduate research fund including application notification, budgets and logistics of summer research poster symposium.
  • Provides administrative support for the ACE poverty internships, locally and nationally.
  • Works with ACE Director to improve and maintain ACE filing system.
  • Education & Training

    High school diploma or equivalent with data entry training required. Some college preferred.

    Experience

    2-3 years previous administrative experience, including budgetary responsibilities required, or equivalent training. Strong proof reading and writing skills are required.

    Knowledge

    Data entry knowledge and computer skills required. Familiarity with Windows, Microsoft Word, Excel, Access, E-mail, Internet, and the web preferred, including advanced CMS.

    Other

    As this individual will interact with members of the faculty, staff and student body, strong interpersonal communication skills and professionalism are required. Familiarity with local communities, strongly preferred.
