Works cooperatively with others and accepts direction from supervisors.
Prepares faculty appointment and reappointment letters. Drafts various letters for DOF and Provost, including those on retirement, changes in status, medical leaves, and parental leaves.
Maintains database on all aspects of faculty appointments (endowed professorships, review schedules, faculty status, committee membership, salary, etc.). Ensures that all information is up-to-date for other staff with access to database.
Initiates faculty reviews based on appropriate schedule. Prepares letters (based on a template) to all parties involved in each review. Gathers and organizes incoming review materials for Promotions Committee and Reappointments Committee. Must know Faculty Rules of Appointment and Tenure, all changes made to them, and when/how to apply them. Supports Provost who sits with the two committees, providing updates and documentation as requested. Maintains COR room files and is primary gatekeeper for access to evaluations.
Acts as Secretary to Educational Affairs Committee. Takes minutes of all meetings, tracks committee decisions in a database, provides follow-up paperwork for all decisions. Tracks faculty FTE count based on faculty status each semester. Predicts FTE count for future years, based on EAC decisions, faculty positions that will lapse and faculty retirements. Works with Office of Institutional Research, LIS and others to obtain statistics needed by the committee to complete its work. Places advertisements for approved faculty positions on various websites, including Midd College. Works with college designer on ad layouts for print journals. Places orders for print advertisements.
Provides monthly and annual reports for faculty on EAC business.
Compiles and prepares packets for monthly faculty meetings, makes arrangements for meeting venues and catering services. Makes arrangements for faculty retirements by ordering rocking chairs, working with Facilities for deliveries, etc. Takes minutes at monthly faculty meetings. Maintains historical record of faculty legislation.
Compiles list of faculty accomplishments for monthly distribution to faculty and inclusion on website.
Collects necessary data, compiles and writes annual report for C.A. Johnson Endeavor Foundation. Collects and compiles data for annual AAUP report and annual IPEDS reports. Provides statistical information on faculty for various campus offices and outside constituencies.
Works with the Dean for Faculty Development and Research (DFDR) to coordinate the faculty leave program. Maintains database on grants applied for by faculty. Maintains and updates (with Sponsored Research Coordinator) a "leave handbook" containing vital information for faculty going on leave. Maintains regular contact with Sponsored Research Coordinator on issues of faculty grant seeking. Enters new positions in Banner to pay faculty grant salaries, keeping in mind issues regarding benefits and summer salaries. Provides notification of changes to appropriate staff in HR and Payroll.
Assists Provost in setting faculty salary budget. Maintains spreadsheet listing all faculty with appropriate forecast of faculty status for upcoming year. Provides support for salary letter preparation and distribution. Assists in entering new annual salaries into Banner, making appropriate adjustments for reductions for leaves, associate status, etc.
Responds to initial questions from faculty regarding salary.
Works with Assistant to Provost in updating faculty section of College Handbook. Prepares list of faculty and emeriti for catalog. Sets up leave data in Banner prior to creation of Directory. Maintains and updates Academic Departments section of print Directory.
Maintains Academic Affairs website.
Tracks faculty eligible for election to committees, election results, prepares electronic ballots with Assistant to Secretary of the College.
Serves as institutional memory in faculty affairs in the Academic Administration.
Serves on ad hoc committees as requested.
