Primary Purpose

Provides administrative assistance to Academic Affairs office and the Associate Dean for Institutional Diversity.  Assists with a range of administrative tasks as needed.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

*Maintains calendar for the Associate Dean for Institutional Diversity and assists with scheduling for other academic Deans as needed


*maintains lecture planning calendar.


*Answers phone, provides information and routes calls or takes messages.


*Maintains office filing and sorts mail.


*Assists academic Deans and Associate Dean by preparing necessary correspondence.


*Coordinates and makes all the arrangements for new initiatives of the Associate Dean for Institutional Diversity.


*Works closely with student groups in planning events supported by the Office for Institutional Diversity.


*Assists with preparation of New Faculty Handbook and provides support for new faculty events.


*Tracks use of some endowed funds used for lectures and enrichment activities, and prepares annual reports on their use.


*Serves as part of the Academic Affairs support staff.


*Processes course evaluations.


*Coordinates and makes all the arrangements for the Faculty Lecture Series, the Inaugural Lecture Series, and special events (Perkins Award Ceremony, van de Velde Lecture, Grant Recipient's Reception).


*Coordinates and makes all the arrangements for new faculty events.


 

Education & Training

Bachelor's degree or equivalent experience required.

Experience

3-5 years prior experience in an academic setting required.  A combination of administrative, database, bookkeeping, and managerial experience.

Knowledge

Working knowledge of office computer applications required; PC Word, Excel, Filemaker Pro, Banner preferred.

Other

Strong organizational and communication skills.  Ability to handle confidential matters in a discreet manner and work well under pressure.  Ability to maintain good rapport with faculty, staff, and students required.  Independence, ability to prioritize jobs and work with minimal supervison essential.  Must work at a computer for a cumulative amount of several hours a day.
