Primary Purpose

Assists the Assistant Treasurer in the administrative function of the Business Services Group.  Administers and monitors various programs including insurance, real estate, mortgages, credit card programs, faculty housing, liquor licensing and projects. Using technology and knowledge of Middlebury College complexities, streamlines the faculty housing rental program.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

*Works on special projects for many different constituents that require a high level of problem solving skills and independent decision-making, as well as creativity, and in-depth research using various forms of media. 


*Quality and accuracy of information produced and disseminated is highly critical.


*Evaluates situations and resolves or recommends resolution of a variety of situations and conflicts involving administrative function of Business Services Group involving college and non-college entities.


*Responsible for real estate management of three commercial properties with 18 units and 60 faculty housing unit to include writing of leases, payment of utilities, housing lottery, key ordering, payroll deductions (for faculty/staff), troubleshooting and work orders.


*Works in conjunction with Facilities Management on planning house repairs and unit upgrades/improvements.


*Receives, processes and approves requests for serving of alcoholic beverages in compliance with Vermont statutes, maintaining records of all requests.  Reviews and renews liquor licenses and annual licenses to operate.


*Prepares college insurance renewals for Assistant Treasurer's review including compiling and preparing renewals for College insurance policies. First point of contact for claims in college's insurance programs.  Maintains policies and insurance files throughout year.  Files reports and handles claims.  Corresponds with claimants, outside insurance companies and decides disposition of internal claims.


*Administers and monitors automobile and fine arts data and files for insurance auditing purposes.


Provides information on College insurance policies to internal and external sources.


*Handles registration of College-owned vehicles.


*Performs actions to ensure DOT vehicle and driver are in compliance w/ all DOT regulations--includes motor vehicle records checks, vehicle maintenance logs, time logs, annual physicals, drug testing, annual federal audit and annual vehicle driving logs reporting to DOT.

*Administers College second mortgage program with employees, banks and attorneys and handles paperwork associated with closings with direction from Assistant Treasurer as needed.


*Drafts, prepares, maintains, renews and signs leases for College-owned properties administered by the Assistant Treasurer.


*Program Administrator for the American Express Credit Card Program. Administers and monitors American Express Corporate Account Program, MasterCard, Visa, Sprint & AT &T credit card programs. 


*Manages content and  maintains Business Services Website.


*Provides technical editing for Web documentation relating to the Business Services group.


*Ensures adherence to office file retention system.


Maintains College deed file.
Provides clerical support for town/gown committees related to office.


*Maintains editorial authority for compilation of MC Safety Committee minutes.


*Determines priority and level of response to telephone calls and prospective appointments.


Provides support for the Safety Officer, Forester and other offices as needed.


Assists the Treasurer's office as needed.


*Provides confidential secretarial and administrative support to the Assistant Treasurer.  Maintains Assistant Treasurer's calendar, schedules meetings for department and other departments as needed.


*Provides technical writing and editing of documentation within the Business Services Group.


Provides computer assistance in desktop applications for the group.

Responsible for integrity of GIS real estate database.

Education & Training

BA or equivalent relative experience.

Experience

7-10 years previous employment in a college setting, preferably Middlebury College.  Computer proficiency necessary.  Word processing, spreadsheet, desktop publishing, database programming and dictaphone experience.  Knowledge of real estate and mortgage transactions extremely helpful.

Knowledge

Extensive knowledge of College concepts, practices and procedures necessary.  Editing skills.  Broad range of personal computing software applications.

Ability to work independently.  Demonstrated problem solving skills.  Excellent writing, organizational and communication skills.  Must handle confidential matters with discretion, be tactful and diplomatic.
