Primary Purpose

Facilitates the mission of the Bread Loaf School of English by providing administrative support to the Director, Office Manager, faculty, students and staff.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Processes all new applications received. 

Reviews incomplete applications and contacts applicants for any missing information.

Sends out financial aid forms as needed. 

Maintains weekly inquiry statistics. 

Reviews all incomplete, regret and withdrawal applications at end of summer and files appropriately.

Works with the Director and Office Manager to provide student and faculty information packets. 

Revises thank-you letters for gifts for Director's signature. 

Prepares database of donors and records special funds on ongoing basis. 

Sends receipts and thank-you letters to donors. 

Prepares tentative address lists for all campuses for mailing in student information packets. 

Prepares off-campus questionnaire to be mailed to prospective landlords in coordination with the Bread Loaf Writer's Conference. 

Compiles information received into off-campus housing listing.

Maintains a record of all students off campus and sends out updated monthly listings. 

Assists the Office Manager in recording and transcribing evaluations by professors onto student's permanent records. 

Updates permanent record card including grade labels, group requirements, financial aid awards, named scholarships and fellowship information.

Corresponds with faculty and orders necessary desk copies, reserve books and textbooks for all campuses. 

Maintains correct names/addresses in AS/400, blue book and database.

Prepares and updates Fun & Frivolity Guide for new faculty & students. 

Orders supplies and films for Vermont campus. 

Gathers archival information on Bread Loaf and organizes it into reference notebooks for Library and Director.

Prepares and distributes various summer correspondence to students and faculty for all campuses. 

Answers phones, handles mail, performs faxing, copying and filing. 

Assigns Language School number to all prospective applicants when inquiry is received. 

Mails application packets on weekly basis, including special fellowship inquiries. 

Maintains inquiry file and reviews information once application has been received.

Prepares mailing of bulletin to all prospective applicants.

Sends recruiting letter and bulletin to all incomplete inquiries the following year. 

Responds to inquiries by phone and on the web.

Meets with students on registration day in Vermont to assist them with logistical paperwork and to answer questions as needed.  Provides Bread Loaf Inn staff with appropriate information and car registration.

Assists Director with handling of correspondence and messages.

Maintains checklist of logistical details prior to opening day.

Revises, maintains and distributes address list of faculty and staff.

Coordinates course transfer process including preliminary approval requests, answering inquiries, advising students of degree requirement status and alerting students and administration of any potential problems with graduating seniors. 

Reviews and organizes transcripts and course descriptions and forwards to Director for approval.

Submits approved requests to Academic Records Director, records transfers on permanent student records and maintains statistics for Director. 

Creates and maintains database of all active students each year. 

Processes student deposits and notifies students of overdue deposits, recording information in student database and billing card.

Assists with sending notification of course enrollments.  Infoms students of any changes in reading lists. 

Sends notification to students regarding workaid positions for New Mexico and Vermont campuses.

Coordinates notification and recording for Educational Privacy Act.

Assists Director in revising named scholarship announcement letter and in informing recipients of awards. 

Prepares and distributes certificates to students. 

Assists faculty in obtaining appropriate coursepack permission letters.

Coordinates evaluation forms of all students and distributes to professors for each campus. 

Assists in maintaining and updating the BLSE web page. 

Assists the Office Manager with coordination of payroll information. 

Provides Security with lists of all students and faculty for obtaining summer identification cards.

Education & Training

Associate's degree or equivalent preferred with secretarial training required.

Experience

3-5 years secretarial experience preferred.

Knowledge

Knowledge of computers and automated office equipment and secretarial skills. Knowledge of English and American literature helpful.

Other

Strong interpersonal and organization skills. Ability to meet deadlines and prioritize.
