Primary Purpose

Provides secretarial and clerical support to the Bread Loaf School of English.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Assists with large and small mailings; opens and distributes office mail daily.

Updates mailing lists used in distribution of BLSE recruiting materials.

Prepares off-campus questionnaire to be mailed to prospective landlords in coordination with the Bread Loaf Writer's Conference and compiles information received into off-campus housing listing.

Maintains a record of all students off campus and sends out updated monthly listings.

Assists the Office Manager in recording and transcribing evaluations by professors onto students' permanent records.

Updates permanent record card including grade labels, group requirements, financial aid awards, named scholarships and fellowship information.

Revises and repairs thank-you letters for gifts for Director's signature.

Prepares database of donors and records special funds on ongoing basis.

Sends thank-you letters to donors.

Processes and records student deposits.

Prepares annual statistical reports, compiles annual "secretary's book," compiles various statistics as requested by Director and answers questionnaires.

Prepares Continuing Education Certificates.

Prepares work permit applications for director and office staff at Oxford.

Education & Training

High school diploma required; Associate's degree preferred.  Secretarial training.

Experience

2-3 year's experience preferred.  Must be able to meet deadlines, work accurately with many details, prioritize.

Knowledge

Basic computer/database skills, knowledge of Word and Excel.
