Primary Purpose

Manages the day-to-day administrative operation of the Bread Loaf Writer's Conference and provides assistance to the Director and Associate Director.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

* Works closely with the directors in planning all aspects of the conference.


* Keeps track of expenditures, deposits and income for budgets and grants.


* Coordinates payroll and honorarium paperwork, obtaining proper documentation. 


* Works closely with directors in planning all aspects of the conference.


* Supervises the Bakeless Prize Administrator and acillary administrative staff.


* Processes all applications, inputs student information into Banner and creats address list for distribution at the conference.


* Meets weekly with the Associate Director for planning and updates, keeping minutes of these messages.


* Communicates daily with Directors by e-mail and phone for the handling of correspondence and messages.


* Coordinates admissions procedures, writing admission/rejection letters and sending information packets to conference mambers and faculty.


* Solicits nominatioins for fellowsihps and scholarships for editors and agents and informs nominators of the competition results.


* Orders faculty books and handles any book problems.


* Writes and  proofreads all catalog copy, and arranges catalog schedule.


* Arranges visits for reading, classes, lectures and discussions.


* Works with catering, dining hall and kitchen staff in preparation for regular dining service and special events.


* Coordinates one-on-one and group meetings of editors and agents with conference  participants.


* Creates conference schedule and keeps weekly statistics and admissions, rejections, cancellations, and financial aid applications, compiling statistics annually.


* Track housing requests and assigns rooms for students, faculty and staff.


* Coordinates conference social schedule and sends out audio and video tapes of lectures to conference participants who request them.


* Answers phone, orders supplies, prepares correspondence and mass mailings, responding to inquiries by phone, e-mail and regular mail.


* Performs other duties as required to ensure the smooth running of the conference.


* Analizes and synthesizes past and current expenses and administers several budgets in consultations with the Associate Director.

Education & Training

Bachelor's degree.  Major in English helpful but not required.

Experience

3-5 years related experience, including supervisory work.

Knowledge

Must have computer skills in word processing and Excel and knowledge of budgets and financial record keeping. Knowledge of contemporary literature preferred.

Other

Excellent organizational, communication, interpersonal and supervisory skills.  Ability to prioritize tasks, meet deadlines and work well under pressure.  Position requires patience, flexibility, tact and diplomacy.
