Primary Purpose

Facilitates the educational mission of the department by providing administrative and technical support to the Assistant Dean for Instruction.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

*Adheres to Banner policies and deadlines.


*Develops budget for Deans approval and enters requests in Banner.


*Monitors and tracks departmental budgets monthly.


*Prepares vouchers, journal entries and purchase requisitions for reimbursement and ordering supplies.


Advises Dean and faculty of College policies and guidelines.


*Interacts with students, answering inquiries or directing them to proper channels.


*Coordinates departmental workshops and meetings (logistical, technological, publicity, catering, scheduling, prepartation of materials).


*Prepares material for Academic Forums and Student Orientations.


Creates and maintains study skills handouts.


*Participates in CAOS committee meetings, computer training, and professional development opportunities to gain necessary knowledge of new systems and better serve the mission of the office.


*Coordinates the Peer Tutor Program and office staff. Recruits, hires, trains & supervises student staff and peer tutors and monitors payroll.


*Facilitates Learning Skills, Correct Read Inc. program. Communicates with Financial Aid and disseminates information to appropriate office to obtain scholarships for participants who qualify.


*Track students on academic probation/warnings.  Provides follow-up information to students & monitors their progress. Reports to Learning Resource Director.


*Retrieves academic records and maintains confidential student files.


Maintains records, prepares and disseminates information about academic support services to faculty and staff, and enlists the efforts of others to meet academic needs of students.


Coordinates summer program (logistical, technological, publicity, catering, scheduling).


*Supervises maintenace of departmental office equipment. Orders office supplies.


*Maintains calendars and alerts staff of upcoming events.


*Maintains departmental web page.

*Performs other duties to assist the department in obtaining and maintaining its mission.

Education & Training

Associate's Degree or equivalent office management experience required.

Experience

3-5 years of previous adinistrative office experience.

Knowledge

Computer literacy, familiarity with Microsoft Office (IBM/Mac) and Excel, good writing skills. Web page, email, file sharing, FileMaker Pro, and Banner.

Other

Strong organizational and communication skills, ability to learn multiple computer systems/programs, work under pressure with frequent interruptions. Ability to work independently, without supervision, and to prioritize essential tasks.
