Primary Purpose

Manages administrative functions of Museum of Art office.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Maintains financial record-keeping for the MCMA operating budgets & endowment funds, including monthly balance/projection checks, annual donor fund reports, quarterly Friends of Art treasurer's reports, and processing requests for payment. Acts as proxy for director to approve employee time in Banner. Acts as liaison with budget and accounting offices.

  In director's absence, serves as public relations officer for MCMA daily operations.

  Writes press releases for all programs and exhibitions and for bi-monthly College "Artsletter."

  Assembles images and assembles and edits text for bi- annual museum calendar brochure.

  Contracts with outside editors for review of text for museum brochures.

  Maintains MCMA web page and coordinates online exhibitions.

  Coordinates annual student intern application process, supervises hiring of students, and approves student hours in Banner. Acts as liaison with Student Employment and Human Resources.

  Coordinates and assists with grant applications and reports for exhibitions, collection development, and conservation. Coordinates exhibit contracts and maintains contracts with consultants.

  Plans and executes advertising strategy, coordinates ad design, and oversees advertising budget.

  Maintains master calendar and weekly staff meeting agenda.

  Assists Events & Programs Coordinator with events invitations, mailings, setup and operation of media equipment at Museum events and functions, and maintenance of project management systems.

  Maintains and renews all MCMA subscriptions and memberships.

  Maintains Catalogue in Publication (CIP) data and ISBN information for all MCMA catalogue publications. Maintains publications exchange program with other museums and libraries. Submits various museum publications to publication design contests.

  Maintains MCMA central office files.

  Answers main Museum office telephone.

  Assists director with other museum correspondence as needed.

  Works cooperatively with others and accepts direction from supervisors.

  Performs other responsibilities as assigned.

Education & Training

Bachelor's Degree with emphasis on History of Art & Architecture, History, or English. Necessary Economics or Accounting experience.

Experience

3-5 years administrative/office management experience. Supervisory experience preferred.

Knowledge

Macintosh and IBM PC computer literacy; Microsoft Word, Excel, PowerPoint, and Outlook; Adobe Photoshop, Illustrator, and InDesign; Filemaker Pro; knowledge of HTML; scanning ability; strong familiarity with web design programs such as Dreamweaver, Microsoft Frontpage, or Adobe GoLive; familiarity with Flash and Fireworks a plus.

Other

Requires strong organizational and communication skills. Ability to handle sensitive information and confidential matters in a discreet manner. Must be able to prioritize jobs and work with little supervision. Familiarity with museums and art history a plus.
