Primary Purpose

The Customer Relations Associate, a 10/12th position, provides outstanding customer relations for all visitors, patrons and residents of the Mahaney Center for the Arts (MCFA). Facilitates the mission of the Center for the Arts by providing box office, reception, information services for the MCFA. Provides clerical support to the MCFA Management Team.

 

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Responsibilities

  • Serves as main MCFA receptionist.
  • Welcomes visitors and provides information on MCFA and other arts events.
  • Maintains a professional appearance and orderly work environment. Answers main information line, fields MCFA general email, and maintains all outgoing messages.
  • Serves as the primary sales associate in the MCFA Box Office.
  • Runs necessary Box Offices sales reports and performs closing procedures.
  • Trains student assistants in MCFA reception functions and oversees their work.
  • Provides clerical and proofreading support to the MCFA Management Team.
  • Maintains MCFA staff calendar and meeting agendas.
  • Assists with the maintenance of building reservation and event data in Resource 25.
  • Double-checks for agreement between Resource 25 and published events schedules.
  • Enters and maintains Events at Middlebury information in Resource 25.
  • Completes monthly check-in with arts academic coordinators for event updates.
  • Maintains Arts at Middlebury data in regional online event calendars.
  • Produces publicity materials for the building (table tents, easels, Cafe chalkboard, etc.).
  • Sends weekly media alerts.
  • Maintains archival records.
  • Performs additional duties as required.

Education & Training

High school diploma required; associate's degree preferred.


Experience

2-3 years previous secretarial experience preferred. Retail and customer service experience necessary (Box Office experience helpful). Previous experience working in higher education desired.


Knowledge

Advanced computer skills required, utilizing the following programs: Microsoft Word, Outlook, Resource 25, Excel, and Web applications. Familiarity with the performing arts field a plus. Knowledge of College policies and procedures helpful.

Other

Must be detail-oriented, able to work in a fast-paced environment, and manage multiple tasks simultaneously. Excellent organizational, technological, and communications skills required. Must speak English clearly and articulately. Must be able to work at a computer for several hours a day. Must be able to be flexible with work schedule; some evenings and weekends required. Valid driver's license and ability to obtain College vehicle permit. Ability to lift 25 pounds occasionally.
