Primary Purpose

Provides administrative and programming support to the Scott Center.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Schedules and coordinates all College and community events in Mead Chapel.


Responds to requests for information from within and beyond the College.  Drafts, prepares and sends routine acknowledgement correspondence and requests for information.


Handles correspondence, fax transmissions, photocopying and other routine office management tasks.


Communicates with on and off-campus groups, as well as individual students, faculty and staff on the Chaplain's behalf.


Communicates with couples concerning wedding arrangements.  Maintains useful information on local resources and requirements for weddings (musicians, florists, additional clergy, town clerk address, etc.).


Maintains communication and dialogue between the Chaplain and the student religious organizations on campus.


Assists Chaplain(s) with coordinating events (meetings, worship services, memorial services, dinners, receptions, volunteer work parties, etc.) from concept through scheduling, publicity, catering and travel arrangements.  Offers similar support, guidance and follow through to student religious organizations and their leaders.


Facilitates coordination of programming between the Chaplain's Office and other campus departments.


Supports communication between Chaplain's Office (Chaplain and Assistant Chaplain) and the local community, its congregations, and national organizations which relate to their common work.


Maintains Chaplain's Office Web pages.

Acts as "facilities manager" for Hathaway House

Maintains P-card record keeping and reviews P-card activity.

Takes on other fundraising and charity special events as assigned.


Prepares and prints Mead Chapel bulletins.


Coordinates necessary arrangements for Mead Chapel events (staging, flowers, banners, etc.) with Facilities Management and other campus offices.


Coordinates publicity for worship services and other Chaplain's Office programs.


Monitors expenditures and budget information on Banner Web for the Scott Center and other Chaplain-related budgets.  Prepares vouchers and cash account deposits.


Purchases office supplies and chapel supplies as needed.


Participates in training and professional development opportunities to enhance effectiveness and better serve the mission of the office.

Education & Training

Bachelor's degree.

Experience

3-5 years of administrative office experience.

Knowledge

Computer literacy required.  Familiarity with Microsoft Office, Excel, Filemaker Pro, Web page design using PageMill or comparable program, and email highly desirable.

Other

Strong project management and organizational skills.  Ability to work independently, without supervision, and to prioritize essential tasks.  Ability to work under pressure with frequent interruptions and handle confidential matters with appropriate discretion.  Must be able to deal sensitively with issues and concerns arising from the diverse religious and cultural backgrounds of our students, staff, and alumni.  Ability to learn multiple computer systems and programs.
