Primary Purpose

The Annual Giving Direct Marketing Program Officer manages direct marketing program to synchronize timing of mail and electronic appeals with student calling program (Phonathon) and Web content. Oversees student calling program. Provides operational functions for annual giving including development and implementation of data entry and prospect tracking procedures. Oversees office workflow and administrative operations.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

 

  • Works closely with the Director, Communications, and Reprographics and Mailing Services, to coordinate overall annual giving messages, data segmentation and management, and tracking and analysis of direct marketing results. Assists with design and coordinates production of Annual Giving materials related to direct marketing efforts.
  • Manages Phonathon program including hiring, training, scheduling, and supervision of 25-30 student callers, data management for automated calling system, analysis of program results.
  • Coordinates with Alumni Records office and the report writers to design, create and execute reports using Hyperion Explorer for prospect tracking, appeal tracking, volunteer management and program analysis to accommodate the reporting needs of the department.
  • Supervises AG Assistant, to include task and personnel management, departmental training, and mentoring.
  • Acts as liaison between AG office and LIS, serving on division-wide Advancement Information Services Team and campus-wide Reporting Team.
  • Creates and implements administrative processes to improve office workflow and administrative operations.
  • Assists staff members with general software application questions and provides technical software training as needed. Serves as backup for office reception as needed.
  • Performs other duties as assigned to assist the Annual Giving department in meeting their goals.

  • Education & Training

     

    • Bachelor’s degree strongly preferred.

    Experience

     

    • 2-4 years of experience in a fast-paced office environment. Prior experience with relational database systems. SCT Banner experience preferred. Prior supervisory experience preferred.

    Knowledge


    • Fundamental understanding of relational database systems.
    • Demonstrate strong proficiency in MS Office suite of applications.
    • Strong organizational skills and ability to manage multiple tasks and projects.
    • Ability to communicate effectively, verbally and in writing.
    • Detail-oriented.
