Primary Purpose

Manages the Commons Office.  Assists Commons team with residential operations and programming.  Provides administrative support for Commons Dean, Faculty Head and Council.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

In addition to participating in Commons administration meetings, team meetings and various system support meetings, the Commons Coordinator's responsibilities include the following:


Residential:


*Maintains dorm damage system, investigates damage with residential staff and acts as liaison with Facilities Management.


*Assists Deans and Faculty Head in recruiting/interview process for residential staff.


*Assists in supervision of Commons Residential Advisors and residential staff.


*Manages residential student worker payroll.


*Helps to coordinate fire safety checks.


*Records room changes and oversees room check-in/check-out procedure.


Programming:


*Schedules and oversees Commons space.


*Helps to organize and plan events with Commons team.


*Communicates with other campus offices (Catering, Facilities Management, Scheduling, Media Services, etc.) as needed for event programming.


Budget:


*Works with Commons Dean, Faculty Head and Council to determine Commons budgets. 


*Reviews, monitors and tracks all Commons operating budgets. 


*Processes vouchers, journal entries, purchase orders and receipts.


Student:


*Hires, supervises and fires student office workers.


*Manages student office worker payroll.


*Tracks students in poor academic standing.


*Processes requests for student verification letters/forms.


*Makes appointments between students and the Dean.


*Updates student addresses in the system.


Communication:


*Oversees Commons Web page.


*Coordinates the publication and distribution of the Commons newsletter.
Tracking Systems:


*party registration system.

*course warning letters


*student loans/gifts


*Public Safety reports


Interpersonal:


*Provides outstanding customer relations with students, staff, faculty and parents.


*Meets with other Coordinators to discuss systems and maintain consistency between Commons.

Education & Training

Associate's degree or equivalent experience required.  Bachelor's degree preferred. 

Experience

3-5 years administrative experience required.  Supervisory experience preferred.

Knowledge

Advanced computer skills required, utilizing the following programs:  Microsoft Word, Outlook, AS/400, Resource 25, Filemaker Pro, Power Point, Excel and Web applications.  Knowledge of College policies and procedures helpful.
