Primary Purpose |
|
Provides administrative support to vice president for communications, the director of communications and director of public affairs; works collaboratively with communications and public affairs staff including designers, writers, editors, and the production coordinator to meet department goals. Manages the day-to-day office operations of the communication department.

Responsibilities |
Works cooperatively with others and accepts direction from supervisors.
- Manages the calendars of the vice president and director of communications; schedules appointments using the electronic calendar, arranges meetings and teleconferences; makes travel arrangements.
- Processes vouchers and requisitions on behalf of both departments.
- Provides secretarial functions for the vice president and for the director of communications, including matters involving confidential information.
- Prioritizes correspondence and drafts responses where appropriate.
- Answers phone and functions as initial contact with the various constituencies of the communications office and directs them appropriately.
- Produces word processing documents and maintains electronic files.
- Maintains and orders office supplies for both departments.
- Manages office equipment and repairs as needed.
- Hires and supervises student worker(s) as appropriate.
- Assists the vice president and director, as appropriate, for special events.
- Makes travel arrangements for the vice president and processes expense vouchers.
- Sets up and maintains office files.
- Performs other tasks as assigned to assist the departments in obtaining and maintaining its mission.

Education & Training |
|
High school diploma or equivalent required. College helpful.
|
Experience |
|
3–5 years of prior administrative experience required.
|
Knowledge |
|
Extensive knowledge of MS Word, Excel, Outlook, and Power Point. Excellent interpersonal, communication, and organizational skills.

|
Ability to exercise good judgment in a variety of situations. Strong organizational and interpersonal skills and ability to work under pressure. Must be an effective team member and handle confidential information in a discreet manner. Must be team-oriented and able to master new technologies. Must possess initiative and be willing and flexible to meet the demands of peak workflow cycles.
