Primary Purpose

The Assistant Controller has broad responsibility for the financial accounting and reporting of the College.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

The Assistant Controller has overall accountability and responsibility for the general accounting function.  This responsibility includes timely and accurate transaction processing, account analysis, reconciliations and schedules, endowment and fixed asset accounting.

The Assistant Controller has overall responsibility and accountability for the timely preparation of monthly and annual financial statements, including variance analysis.  The variance analysis is to be performed in collaboration with the Budget Director.

The Assistant Controller has overall responsibility and accountability for the timely completion of the fiscal audit, and is the team leader on the fiscal audit team.

The Assistant Controller has overall responsibility for grants and contracts accounting.

The Assistant Controller has overall responsibility and accountability for the successful management of the deferred gift program, including accounting, reporting, tax, and compliance.

B.  SPECIFIC DUTIES: The duties that are performed and the approximate percentage of time devoted to each annually.

60%  Ensure timely and accurate transaction processing, account analysis, reconciliations and schedules; Manages the fiscal administration (excluding investing) of the deferred gift program, including accounting, reporting, tax, and compliance.  Prepares on a timely basis monthly and annual financial statements, including variance analysis.  The variance analysis is performed in collaboration with the Budget Director.  Plans and manages and ensures the timely completion of the fiscal, health plan and pension audit(s).

15%  The Assistant Controller has overall responsibility for grants and contracts accounting; grants and contracts billing and collections; proper recording of fringe benefits and indirect expense recovery; preparation and negotiation of the indirect cost and fringe benefits proposals with the requisite agency.  The Assistant Controller has overall responsibility and accountability for the timely completion of the fiscal audit and the A-133 audit, as it pertains to Grants and Contracts.

15%    The Assistant Controller has day to day responsibility and accountability for the development, implementation and maintenance of a college-wide Sarbanes-Oxley initiative.

10%   Other projects as assigned.

Direct and supervise accounting and reporting; manage the fiscal audit process; maintain the Chart of Accounts; Direct monthly closings and financial reporting and analysis.  Direct two (2) staff.


 Audit Committee


Represent the College at the annual Audit Committee meeting of the Board of Trustees

 


 Fiscal Auditors

 


Provide data, information, and reports in response to auditor inquiries.

 


Office of Sponsored Projects

 


Provide information related to grants and contracts (extensions, financial reports, etc.)

 


Budget Office


Creation, implementation, and continued production of various financial reports; resolve discrepancies; explain variances.

 

Education & Training

A college degree in accounting, business, finance, or other related field (Bachelor&apos;s preferred), plus professional certifications (CPA, CCM, CTP, etc.) or graduate degree in business or finance.  A thorough working knowledge of accounting (not-for-profit) principles and applications.

Experience

Five or more years accounting experience in a business environment (higher education or public accounting experience preferred) with significant interpersonal contacts requiring independent professional judgment;  Management experience preferred; BANNER Finance and project management; Microcomputer operations including database, spreadsheet and word processing.

Knowledge

Strong verbal and written communications skills; ability to articulate strategies and implement policies; budget management; demonstrated ability to organize information, time and widely disparate priorities and complex issues so as to accomplish multiple, on-going and unrelated time critical tasks.

The Assistant Controller is a key person on the Controller&apos;s management team.  Accordingly, the Assistant Controller must have well-developed interpersonal and human behavior skills to communicate effectively the importance of fiscal accountability, timely and accurate financial reporting, to gain the cooperation of the many diverse departments and to coordinate efforts to accomplish the goal of providing accurate and timely information, and providing exceptional service to constituents.

The Assistant Controller comes in contact with many different personalities and types of people.  The goodwill of the College must be reflected to all who come in contact with the Assistant Controller, while utilizing appropriate measures to preserve the College's rights, resources, financial integrity and reputation in every instance.  The Assistant Controller is routinely involved in highly sensitive matters; errors in judgment could adversely affect the financial integrity and the reputation of the College.
