Primary Purpose

Provides administrative support to the Associate Deans of the College.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Administration Committee:
Assist students with preparing petitions for the Administration Committee; prepare meeting agendas and student packets for meetings; attend meetings and record outcomes; prepare outcome letters; serve as liaison between Administration Committee and faculty members, staff, students, and deans regarding College policies and procedures as they pertain to academics; research information necessary for student petitions; prepare meeting minutes for faculty ratification; arrange for student file pickup in Commons.

New Student Orientation:
Oversee the selection process for the design of the Orientation logo; coordinate housing for parents of incoming students in September at Bread Loaf; coordinate and oversee preparation of first year orientation packets; maintain Orientation Website; assist with the preparation of materials; reserve spaces; and provide other forms of support as needed.

Grants/Fellowships:
Maintain accounts for Senior Research Fellowship, Senior Work Fund, Academic Conference Travel Fund, Tree House Fund, Luce and Curran funds, Watson, Truman, Liebmann, Mitchell, St. Andrews, Cooke, Rhodes, Marshall; assist with funding database maintenance and Undergraduate Research Office Website development.

Judicial Boards:
Schedule hearings, individual student meetings, and training meetings as needed; prepare all judicial materials; provide logistical support for hearings; maintain Judicial Affairs Website and log and Honor Code Website; provide support for Honor Code orientation activities as needed; provide support for Honor Code Review Committee process as needed.

Sexual Assault Oversight Committee:
Provide all forms of administrative support as needed, including scheduling meetings, preparation of materials, etc.

  • Manage and process Deans’ Certifications, background check inquires, and maintaience of web base information.
  • Maintain student file archives.
  • Diversity-related projects and events support as needed.
  • Commons/Sophomore Engagement project support as needed.
  • Provide main phone back-up coverage, conference room scheduling, and other support as needed.
  • Other duties as assigned.

Education & Training

High school diploma required. Associate's degree preferred.

Experience

3-5 years of secretarial/administrative experience required.

Knowledge

Excellent computer skills required, including Excel, Word, and ability to learn CMS.

Other

Excellent organizational, interpersonal, and communications skills. Experience in a busy academic setting preferred.
