Primary Purpose

To facilitate the mission of the Events Scheduling and Information Office by way of coordinating logistics for College and non-College events scheduling. Organize and manage the information necessary to facilitate effective events coordination and scheduling throughout the service departments. Actively participate in the development and continuation of innovative approaches for events information to be distributed campus wide.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

*Provides quality and responsive customer service, representative of the mission of the Events Scheduling & Information Office (ESIO).

*Processes events scheduling requests from College and non-College groups, making independent decisions in this regard.

*Supports and communicates the protocols and policies as they relate to events scheduling.

*Proactively assesses the impact of events requests to facilitate appropriate use of space.

*Anticipates the impact of all events as they relate to the responsibilities and concerns of the entire campus.

*Manage necessary details to communicate event needs to support service departments.

*Manages special events scheduling and logistics in a manner to inform the campus community of potential conflicts for space and service needs.

*Provides direct assistance to the ESIO manager and serves as back-up at all other times.

*Works closely with satellite schedulers and support service departments to facilitate efficient and effective utilization of the Resource 25 system.

*Supervises the production of Middlebury This Week to provide timely and accurate events information.

Facilitates the process for compiling information materials or services as necessary.

Assists in maintaining and updating the departmental web page.

Aids in the processing of a variety of reports.

Assists with general office work to support the smooth operation of the department: answers phones, types reports and correspondence, greets visitors.

Education & Training

High school diploma or equivalent required. Some college coursework preferred.

Experience

3-4 years experience in an environment where customer service is a high priority.

3-4 years experience knowledge with data managemt and production of documents.

Experience in editing written material for publication.

Experience in higher education preferred.

Knowledge

Knowledge of and ability to learn and work effectively with software applications such as Resource 25, Microsoft Office & Microsoft Outlook, Excel and web applications.

Other
