Primary Purpose

Manges and supervises all aspects of the College's events scheduling and information office, and of the communication of campus events information to the College community. Designs ways to transform the events scheduling and information office from being a 'repository' of events information from which the campus 'pull' information, to being a 'provider' of events information that is effectively 'pushed' out to the campus community. Develops innovative approaches and various information outlets for communication events information to the campus, including electronic, print, and other. Develops the office as a 'super user' of Resource 25 software to provide support to campus users and satellite schedulers, and to collaborate with technical application support provided by LIS. Manages the staff and student employee staff of the Events Scheduling & Information Office.

*Supervises and manages all aspects of the Events Scheduling & Information Office in providing service to College faculty, staff and administration, and to non-College requestors.


*Develops innovative approaches and various information outlets for communicating events information to the campus, including electronic, print, and other.


*Oversees the production of current outlets -i.e., 'Weekly Calendar' and 'Middlebury This Week' - to provide accurate, inviting, and timely notice of campus events.


*Oversees the administration of Resource 25 system and the related assistance provided by the ESIO to campus users and satellite schedulers.


*Manages R25 system reporting to provide data to administration re:utilization of campus facilities for events.


*Develops and manages protocols and policies among satellite schedulers.


*Develops ESIO as the central hub of campus events scheduling, and manages processes to provide greater centralization of events scheduling for all College venues.


*Decides approval or disapproval of requests from non-College groups according to internal scheduling policies and guidelines, while building and maintaining positive community relations with non-College groups.


*Interprets policies re:the use of College facilities by non-College groups, and for assessment of fees for such use. Provides input in the development of such policies.


*Work collaboratively with auxilary services from Facilities Management, Dining Services, LIS/ Media Services, and Public Safety - to effectively coordinate logistics for events management. Leads the cross-departmental 'events team'.


*Ensures assignment of the appropriate space/facility to match the needs of the event, and coordination of all logistical support required for the event.


*Develops reports on scheduling issues for administration. Tracks usage of campus facilities for purpose of planning and analysis of campus space resources.


*Develops and maintains electronic inventory of rooms and facilities that are available to house events; including a pictorial and narrative description of the characteristics of each space.


*Supervises the Scheduling Coordinator and provides ongoing coaching and training support continued staff development.


Develops a service-driven mission for department staff.


Supervises several student employees.


Maintain the office Web Site.


Manages the department budget.

Education & Training

College preferred

Experience

Experience in managing a scheduling or organizing function in an institutional environment. Computer literacy: ability to provide 'super user' to R25 scheduling user; ability to develop R25 and Banner based reports and analyses; knowledge of Web-page basis, and word processing. Supervisory and team leadership experience. Experience in writing or producing informational material for the promotion of events preferred. Experience in higher education preferred.

Knowledge

Knowledge of and ability to work effectively with software applications, especially: Resource 25, Banner, AS/400, Web application, Microsoft Office, and Microsoft Outlook. Writing skills and knowledge of developing promotional material.
