Primary Purpose

Oversees office moves campus-wide.  Solicits and manages requests for operational renovations from all campus constituents.  Manages office budget and develops inventories of all campus space.  Devises a reporting system to identify space related charges associated with sector operations.  Implements policies related to space management.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Oversees office moves campus-wide.  Solicits requests for office moves according to an appropriate calendar.


Coordinates office moves, both between clients and with service providers.  Maintains a "moves" calendar and ensures that move schedules are appropriate and implemented.


Solicits and manages requests for operational renovations from all campus constituents.  Corresponds with 93 sector heads and their administrative support to solicit and organize requests for operationally funded renovations and improvements to the physical plant.  Maintains an active database on these requests and coordinates with appropriate offices on the development of priorities and schedules.


Manages office budget and maintains records of all office expenses.


Initiates purchases and maintains inventories of supplies.


Develops inventories of all campus space.  Develops spreadsheet and database inventories that allow tracking of space, features, sector tenancy, and individual tenancy of all campus spaces.  Coordinates with ITS to download appropriate data and to ensure that office and AS/400 databases are both current.


Develops a reporting system to identify space related charges associated with sector operations.  Develops an understanding of institutional costs associated with tenancy.  Develops a mechanism to account fairly and reasonably for the association of specific costs with tenancy.


Develops appropriate records of space utilization and of exclusionary policies developed by tenants.


Implements policies related to space management.  Works with the Director of Operations and the Director of Space Management to ensure that institutional policies are documented, communicated and implemented.

Education & Training

Associate's degree or equivalent experience required.  Bachelor's degree preferred.  Computer training essential.

Experience

3-5 years of administrative, financial, and customer service experience.  Word processing, Excel (spreadsheet), Filemaker Pro (database), AS/400, and Resource25 software experience.  Experience with general accounting and cost estimation useful.

Knowledge

Familiarity with architectural terms, campus layout and structures and Facilities Services operations preferred.

Other

Strong organizational skills, good spacial abilities and excellent communications skills required.  Ability to maintain excellent rapport with faculty, staff and students. Must be able to operate independently and possess ability to prioritize jobs.  Ability to work with minimal supervision and to supervise others.
