Primary Purpose |
|
Provides administrative support to the Director, Associate Director, Physician, Nurse Practitioners and other medical staff, which includes secretarial functions, medical transcription, record keeping and receptionist functions.

Responsibilities |
Works cooperatively with others and accepts direction from supervisors.
Must be able to work cooperatively with others and accept direction from supervisors. Provides budgetary support by processing invoices for all health center expenses, reviewing Marble Works Pharmacy and The Medicine Chest monthly statements submitted by the Purchasing Department for payment, processing Exceptional Medical Needs Fund payments and maintaining EMNF spreadsheet. Assists with preparation of the Annual Budget. Processes invoices and requisitions for departmental purchases including special equipment. Inventories and orders office supplies. Assists with preparation of the Annual Report by gathering statistical and other related data. Oversees the printing and distribution of health forms for academic first-year students, Bread Loaf School of English, Language School and Bread Loaf Writers' Conference. Provides secretarial support for updating brochures and information handouts. Coordinates communication between the Bread Loaf School of English/Language Schools and the Health Center prior to and during the summer session. Updates department website. Serves as liaison for students/parents with Porter Hospital's business office by assisting with insurance and billing questions. Attends and takes minutes at staff meetings. Distributes minutes to staff. Types and distributes academic year and summer nursing schedule. Assists in maintaining orderly patient charts and files. Submits work-order requests for the department. Receives phone messages and mail, distributes lab and ER reports during designated times when Health Center is closed. Researches patient care services in the community to provide up-to-date information for staff and students.
- Performs other related duties as necessary.
*Transcription:
- Transcribes physician's dictations, requiring specialized knowledge of medical terminology, for patients seen at Parton Health Center and Zug Sports Medicine Center. Gives priority to dictations with speed and accuracy.
*Receptionist:
- Provides front desk receptionist coverage: answers telephone, greets patients and visitors, opens, sorts and distributes mail, charts pertinent communications in students' medical records, assists physician, nurse practitioners and nurses as requested and required.

Education & Training |
|
Associates degree preferred. Medical terminology required.
|
Experience |
3-5 years administrative experience required. 1-2 years medical transcription experience preferred.

Knowledge |
|
Computer knowledge required. Ability to transcribe medical dictation with speed of 60 wpm. Good organizational skills required
|
Other |
|
Ability to handle confidential situations with discretion. Strong interpersonal and communication skills. Requirement for work attendance during breaks when Health Center is closed.
