Primary Purpose |

Works closely with the Employment Manager and HR Generalists to support and help maximize the efficiency of our staff recruitment and onboarding processes.
|
Responsibilities |
Works cooperatively with others and accepts direction from supervisors.
* Posts and maintains open positions on the staff employment opportunities Web site.
* Maintains candidate and job information in the applicant tracking system database; assists with the implementation of new technical releases and functionality as it relates to Middlebury College’s needs.
* Supports the recruitment team by assisting supervisors with use of the applicant tracking system (password creation, how to complete an electronic requisition, viewing candidate information) and being responsible for candidate and new hire written correspondence.
* Assists job seekers with the online resume submission process both over the phone and in person; troubleshoot related technical questions and/or problems over the phone.
* Coordinates supplemental advertising process with hiring departments in a manner in keeping with recruitment and policies and procedures.
* Maintains calendar/correspondence for pre-employment screenings.
* Coordinates interview schedules for hiring departments, as requested.
* Assists new employees with W-4 forms; collects I-9 forms and verifies credentials.
* Coordinates and oversees I-9 employment verification process for all summer language programs including BLSE, LS, MMLA, and BLWC.
* Oversees administrative aspects of biweekly new employee orientation process which includes maintaining biweekly orientation schedule, creating orientation information packets, and corresponding biweekly conference room setup.
* Works with the generalists and budget director to process temporary staffing requests.
* Coordinates implementation of the self-identification disclosure form for Faculty recruitment and maintains Faculty EEOC tracking data as it pertains to recruitment.
* Oversees the process of scanning paper application materials to be uploaded into the applicant tracking system.
* Serves as backup to administrative coordinator in answering department phone lines, greeting visitors and providing operational support to the HR team.

Education & Training |
|
High school diploma or equivalent required. Some post-secondary education preferred.
|
Experience |
|
2-4 years administrative experience with an emphasis on working with the public. Experience in the field of Human Resources preferred. Job posting, advertising and database maintenance experience a plus.

Knowledge |
|
Must have excellent computer skills. Knowledge of an HRIS system preferred.
|
Other |
|
Ability to juggle multiple tasks in a fast-paced, stressful environment. Excellent organizational, interpersonal, and communications skills required. Must handle confidential matters with appropriate discretion. Must work at a computer for long periods of time.
