Primary Purpose

The Compensation Specialist is responsible for handling the day-to-day administration of the College’s compensation programs for staff employees, including job evaluation, FLSA determination, maintenance of the job description database, and support of the annual merit increase process. The Specialist also assists the Compensation/Benefits Manager in compensation program compliance and plan design/modification initiatives.

Compensation

  • Provides consistent consultation to the Generalists, Employment Manager, and hiring managers regarding hiring rates and salary administration guidelines: Entails reviewing campus equity, market comparisons, job description review, confirmation of experience/educational requirements. *
  • Conducts position classifications, reclassifications, and pricing of jobs in conjunction with Generalists, Employment Manager, and supervising managers*.
    1. Processes routing form, monitors and updates band/level for positions, sends written confirmation to employees and managers, update job descriptions on CMS. Calculate retroactive payment, if required.
    2. Position benchmarking for departments as requested and annually for campus-wide market review. Research FLSA, BLS, DOL, CUPA, NESS, comparable organizations as needed.  Reviews SRC submittals for classification and costing (check market, campus equity, confirm with hiring manager and Employment Manager).
  • Completes salary surveys and assists in applying the survey results for annual merit recommendation.*
  • Follows Fair Labor Standards Act regulations to determine exempt/nonexempt overtime designation of staff jobs. Answers overtime-related questions.*
  • Works with Generalists to develop process for maintaining job descriptions (with cooperation from departments).*
  • Supports annual merit increase process (April-July), including modeling using the salary planner program.*
  • Performs analysis, development and entry of special payments.*
  • Liaisons with the budget office for FOAO maintenance and position control: Monitors and creates new position numbers in Banner and in Open Hire. Maintains tracking system and consults with Budget Office for reuse and data accuracy.*
  • Follow Internal Revenue Service regulations to determine independent contractor/employee status (consulting with Tax Manager, as necessary).*
  • As requested assists the Generalists or departments in job design/job description creation.
  • Assists the Compensation/Benefits Manager with maintaining the tools and documentation related to the compensation program.*
  • Assists the Compensation/Benefits Manager with preparing employee communication materials related to the compensation program or processes.*
  • Inputs and assists in monitoring retroactive payments, stipends, OPOs, OPCs.
  • Maintains organizational charts.

Banner HRIS

  • Supports payroll process (job set-up troubleshooting, etc.)*
  • Creates or runs reports as requested.*
  • Ensures the integrity of the compensation and job-related data by regular audits and data maintenance.*
  • Prepares monthly compensation metrics for internal management reporting(run Hyperion reports and update Excel spreadsheet).

Other

  • Processes Tuition Benefit payments, correspondence, answers benefit policy questions, consults with Accounting for payments, wires, confirmations.*
  • Maintains up-to-date written procedures for the compensation function.*
  • Maintains accurate and complete files related to the compensation program.*
  • As requested conducts employee meetings to explain the compensation program/answer employee questions.*
  • Prepares reports or conduct research as requested.*
  • Performs other duties, as assigned.

Education & Training

B.S. in Human Resources or related field or equivalent experience.

Experience

5+ years of experience in compensation administration.

Knowledge

Knowledge of compensation administration and applicable laws and regulations (especially FLSA). Demonstrable technology skills with HRIS, word-processing, and spreadsheet software.

Must be detail-oriented, accurate, and able to maintain confidentiality of information. Must have excellent communication and customer-service skills.
