Primary Purpose

Works under the supervision of the Office Manager. In consultation with the Associate Dean of Student Affairs/International Student Advisor, manages international student records and administers many of the processes and transactions conducted with the Immigration and Naturalization Service (INS) on behalf of the College and our students. In consultation with the Director of Undergraduate Records, coordinates the inputting of all grades for the undergraduate program, the transfer of credits and follow-up on unresolved transcript issues. Supports the Dean of Student Affairs, Director of Undergraduate Records and the Deans on a wide range of projects and assignments.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

 


International Student Records


*Responsible for understanding and staying current on INS regulations and policies.


*Works with international students regarding their immigration status, including travel-related issues.


*Coordinates the international student records, making sure international students' travel documents and other immigration  paperwork is in order.


*Serves as alternate Designated School Official (DSO) for the College to the INS and has signatory authority on INS documentation.


*Oversees processing for off-campus employment authorization applications, in-taking the forms, verifying they are complete, executing the necessary notations and finalizing the application for submission to the INS by the student.


Serves as primary responder to phone and emails inquiries from incoming international students and their families.


*Serves as the front line person for (many/most) admitted international student questions.


*Coordinates the I-20 issuance process for all incoming international students in September and February (including exchange students and admitted international students); communicates with parents, family members, and students regarding the requirements and compliance; handles confidential information; issues I-20s and ensures that they are delivered to students in a timely fashion.


* Assists with arrangements regarding workshops for international students, including logistical details and post-workshop communication and summaries.


* In consultation with the Associate Dean of Student Affairs/International Student Adviser, creates and updates important documents pertaining to communication with new, returning and current international students.


* In conjunction with the Associate Dean of Student Affairs/International Student Adviser, coordinates the international student orientation programs in September and February.


* Maintains records for approximately 200 international students and international student graduates according to Federal Government Guidelines.


 


Undergraduate Records/Transfer of Credits


*Responsible for inputting all grades for the undergraduate program and communicates with Faculty regarding unresolved grading issues.


*Identifies which faculty members do not meet grade submission deadlines at the end of each academic term; informs the Director of Undergraduate Records or contacts the Dean of Faculty with this information in the Director's absence for appropriate follow-up.


*Coordinates the transfer of credit process (from other institutions) under the direction of the Director of Off-Campus Study.


*Assists with follow-through on unresolved transcript issues in consultation with the Director of Undergraduate Records.


*Tracks Academic Probation and Academic Failure at the end of each term and informs the Director of Undergraduate Records.


*Initiates the process of printing and mailing grade reports in the Director's absence.


*Maintains historical records of grade sheets.


 


Dean of Student Affairs


*Provides administrative support for the Office Manager and the Dean of Student Affairs as needed.


*Assists with phone coverage and other general office duties as requested by supervisor.

Education & Training

Associate's degree or equivalent office management experience required. Bachelor's degree or equivalent experience preferred.

Experience

Minimum of 3 years prior administrative experience required.

Knowledge

Computer literacy essential, including word processing, database management and spreadsheet use.

Other

Must have interest in and desire to learn about federal regulations as they relate to immigration issues. Must possess excellent communication, organizational, administrative and computer skills. Must be able to work under pressure with frequent interruptions, be detail-oriented and able to juggle multiple tasks simultaneously. Must have ability to work independently on a diverse array of projects. Must be an effective member of the Dean of Student Affairs staff and be able to handle confidential information in a discreet fashion. Must be able to work at the computer for long periods of time.
