Primary Purpose |
Under the direction of the Associate Dean/Director of International Student and Scholar Services (ISSS) and the VP of Institutional Planning & Diversity as current overseer of the Center for the Comparative Study of Race & Ethnicity (CCSRE), the Administrative Coordinator provides excellent service to the College's international population and participants in the Center's programs. The Administrative Coordinator also plays a key role in providing operational support to the leadership of ISSS and the CCSRE. As a member of Institutional Planning & Diversity (IPD), the Administrative Coordinator assists the IPD team with advancing the College's institutional diversity efforts.

Responsibilities |
Works cooperatively with others and accepts direction from supervisors.
- Plays a key role in supporting the Vice President in launching the new Center and advancing the Center's academic mission and program. Assists VP and the faculty steering committee with the search for a Director until he/she is hired. Will provide ongoing support to Director once he/she is established in the role.
- Serves as the front-line service representative for International Student & Scholar Services (ISSS) and the Center for the Comparative Study of Race and Ethnicity.
- Provides front-line response via phone, email and in person.
- Answers phones and inquiries from internal and external audiences.
- Refers calls/inquiries as appropriate within the building and on campus.
- Acts as official liaison between both ISSS and the Center and their respective constituencies to provide important information regarding functions, policies, procedures and schedules.
- Provides critical administrative support and coordination to year-round ISSS office, which serves the entire institution.
- Collaborates with the Coordinator of Diversity Initiatives in supporting major programs or functions in Carr Hall. Schedules the Carr Hall conference room.
- Schedules/maintains calendar for Director of ISSS (& Ctr. Director, once hired).
- Manages and orders office supply inventory and generates purchase orders.
- Communicates and collaborates with IPD Divisional Operations Manager to promote and support the efficient running of the division.
- Manages and processes letters for ISSS, including invitation letters for international visitors for Commencement and other occasions, visa support letters, driver's license support letters, visa renewal letters, and so on.
- Provides essential support to Friends of International Students host program recruiting and matching processes.
- Provides general office and budget support, including Procurement Card expense tracking/review and being able to generate budget reports from Banner.
- Updates BANNER with key international employee data that is used by other offices on campus to generate reports and initiate action.
- Assists with visa-processing preparations, including creating files, communicating with students/faculty/staff to complete the files and supporting the process.
- Provides logistical support for ISSS programming year-round.
- Effectively maintains ISSS filing systems (current & archive).
- Organizes and maintains the Server file systems for ISSS and the Center.
- Manages physical space of the building in consultation with supervisors.
- Processes and distributes mail.
- Works cooperatively with others and accepts direction from supervisor.

Education & Training |
|
A.S. or A.A. required. Bachelor's degree preferred.
|
Experience |
|
Two to three years' experience in an academic or similar environment preferred.
|
Knowledge |
- Highly competent with a PC and familiarity with Microsoft Office required.
- Must be able to work at the computer for long periods of time.
- Experience with BANNER information system a real plus.
|

- Knowledge of and sensitivity to cultural issues and issues of diversity, and an ability to work well with people from a variety of cultural backgrounds and experiences required.
- Must handle confidential information in a discreet manner.
- Must be able to work under pressure with frequent interruptions; to work independently without ongoing supervision, and to prioritize and manage many competing tasks successfully.
- Must sit for long periods of time each day and must be able to carry out essential functions of the position with reasonable accommodation if disabled.
