Primary Purpose

Provides administrative and receptionist support to the Language School Coordinators, the Dean of Language Schools & Schools Abroad.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

 

  • *Acts as "first point of contact" for telephone and e-mail inquiries from prospective students, and assists in coordinating recruitment efforts.
  • *Prepares/assists in the preparation of materials and mailings for committees and daily appointments.
  • Assists in the coordination of special events and projects.
  • Prepares supporting materials for travel.
  • *Provides administrative and clerical support (maintains files, answers telephone, types correspondence).
  • *Hires, trains, and supervises student workers as needed.
  • *Assists LS Coordinators with admissions procedures, applications, data entry, placement exams, follow-up, enrollments, cancellations, logistical arrangements for the summer session, book and food orders, housing and proofreading.
  • *Functions as initial contact with prospective applicants and parents, and directs them appropriately.
  • *Counsels applicants and their families on the application process and requirements.
  • *Greets, assists, and directs clients and visitors appropriately.
  • *Enters inquiry information into the College database and assigns identification number. Refers information to schools as necessary.
  • *Receives and processes requests for information received by mail, telephone, or through the Internet by sending the appropriate admissions and financial aid material.
  • *Answers general telephone inquiry lines. Screens and routes calls properly, takes messages, and/or handles situation exercising appropriate discretion.
  • Sorts and handles mail; performs photocopying; receives, collates and forwards incoming faxes. Sends faxes.
  • Participates in professional development programs and training.
  • Takes and transcribes minutes of certain meetings.
  • Fills in for Assistant to the DLS, as needed.
  • Performs other duties as assigned.

As a member of the Language Schools management team, the Administrative Assistant takes part in participatory management process.

  • Works with all members of the team to create an efficient and harmonious work environment.
  • Maintains flexibility and willingness to contribute to resolution of problems.
  • Must be able to work cooperatively with others and accept direction from supervisors.

Education & Training

Bachelor's degree or equivalent experience required.

Experience

3-5 years administrative experience preferred. Travel/residence abroad preferred.

Knowledge

Computer literacy, familiarity with Microsoft Office, Excel, and Filemaker Pro. Web page, email, file sharing knowledge helpful; SCT Banner knowledge preferred. Strong interpersonal, communication and organizational skills.

Other

Ability to relate to people from other cultures. Excellent writing skills. Must be able to handle student and faculty matters with discretion, and confidentiality where required. Ability to learn multiple computer systems/programs. Ability to work under pressure with frequent interruptions; to work independently without ongoing supervision; and to prioritize essential tasks. Some evening and weekend work required. Must sit for long periods of time each day.
