Primary Purpose

Performs a wide variety of functions related to the administration of the Office of Dean of Library and Information Services and the Associate Deans.  Manages schedule, workflow and appointments for the Dean of LIS.  Serves as contact point, communicator and facilitator between LIS staff and college departments, to aid in the delivery of excellent services.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

    Maintains scheduling for Dean of Library and Information Services.

    Provides office support for Associate Deans of LIS

    Organizes, plans and coordinates meeting, conferences or group activities, including logistical details of space reservation, catering, etc.

    Prepares vouchers for submitted expenses for Admin office.
    Proof, formats, prints and distributes correspondence and reports, including letter to donors.

    Maintains records of Friends of the Library, including letters of solicitation and gift acknowledgment.

    Generates the weekly LIS newsletter LISt

    Orders and maintains supplies for LIS library personnel

    Maintains library classroom schedules for rooms 140, 201, 230

    Coordinates the annual process of acknowledging acquisitions from endowed funds.

    Facilitates communication among offices of College that we effect.

    Assists in preparation of LIS year-end report and reports to the trustees.

    Monitors departmental budget using Banner software.

    Makes arrangements for conference and other travel, meals and lodging for department.

    Sets up and maintains appropriate office and computer filing systems.

    Supervises and organizes publications development, content, layout, reproduction and distribution.
     
    Oversees maintenance of LIS web site.

    Oversees administration of staff evaluation process, including scheduling and personnel files.

Performs other duties as assigned to assist the department obtaining and maintaining its mission.

    High level customer service skills
    Works closely with other library service point providers (reference, circulation services, inter-library loan, media, writing center, academic advising, digital media services, etc.)
  • Maintains working relationships with other disseminators of information across campus (President's office, scheduling, catering, reprographics, public safety, etc.)

Education & Training

Bachelor's degree or equivalent required.

Experience

3-5 years of high level administration and/or executive assistant experience necessary; two or more years in higher education.  Working knowledge of Banner a plus.  Supervisory experience a plus.


 


Knowledge

Exceptional organization/delegation skills needed, and ability to work in a fast-paced environment.  Must be customer service-oriented with attention to detail.  Must have excellent verbal and written communication skills, the ability to handle confidential matters with discretion, and be able to multi-task under pressure.
