Primary Purpose |
|
Leads employees at the College's Central Mailing Unit. Determines costs based on timelines, mail classifications, and carriers; decides which mail service to use to achieve maximum discounts available and ensure that items are received within intended timelines.

Responsibilities |
Works cooperatively with others and accepts direction from supervisors.
Provides quality customer service to meet the mailing/shipping needs of faculty, staff, and students. Sets the tone for total teamwork within the department. Keeps lines of communication open between employees and clients/departments. Compiles and analyzes all current and changing regulations pertaining to United States Postal Service (USPS) and other package vendors. Formulates a work program and develops mailing unit procedures. Decides and arranges department workflow priorities during times of heavy traffic. Gives direction to fellow team members to meet target objectives, overseeing assigned work with special attention to quality of work produced. Oversees the billing of campus departments for postage and packages. Balances accounts. Creates weekly vouchers for payment to vendors, including service contracts. Stays abreast of new technologies. Evaluates and recommends the technologies that will reduce costs to the College. Uses computer-based mailing system to dispatch all outgoing communications. Uses Windows-based system software (Firstlogic, Paragon, Ascent, Accutrac, and Spectrum) and national directories to sort by destination, classification, and weight. Exports mailing and shipping charges from ASCII data file to host system. Determines type of postal service for College communications as necessary. Prepares packages for shipment by using carrier management shipping software to determine multi-carrier transportation strategies. Creates and maintains procedures to ensure that production meets guidelines for properly classified mail.

High school diploma or equivalent required.

Experience |
|
5 years of experience in a mailroom environment. 2 years of experience in a lead capacity.
|
Knowledge |
|
Intermediate knowledge of PC hardware/software, including Firstlogic, Paragon, Ascent, Accutrac, and Spectrum.
Able to design, program, and implement/maintain information files and databases. Thorough knowledge of USPS procedures, rates, classifications, and regulations. Knowledge of Windows-based systems.
Able to analyze varied mailing unit problems and develop effective work procedures.
Experience working in a fast-paced, deadline-driven setting

Must be able to lift 10-20 lbs numerous times each day and up to 50 lbs once a day.
Must be able to push and pull up to 75 lbs frequently.
Requires long periods of standing and occasional walking. Also requires frequent bending, twisting, and reaching. May require overtime.
