Primary Purpose

Provides secretarial and clerical support to the Director of the Spanish School Abroad.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Responsibilities in Madrid: 


Handles all correspondence with all offices on Middlebury College campus. 


Updates all printed and electronic material, including the student handbook, faculty handbook, web pages, course descriptions and calendar. 


Handles all computer-related matters to include FlanNet/Internet equipment maintenance, computer room organization, creation of web pages, assisting students in conferencing, FlanNet, and Internet use, and assisting faculty in word processing, web pages and creation of interactive programs. 


Handles all non-academic matters with graduate and undergraduate students (at all sites in Spain) including registration/class lists, helping graduate students with career services and helping all students with medical matters.


Handles relations with the Instituto Internacional concerning classroom organization and audiovisual and other equipment. 


Gives orientation for new ungergraduate students, providing information on all non-academic matters.


Prepares students for cultural and social integration through personal interviews and organizing reports on student interests for Site Coordinator in Madrid. 


Provides office support for students on internships. 


Publicizes programs, activities and student and faculty accomplishments through campus news items, Middlebury Magazine articles and contact with the Director of Marketing for Language Schools.


Assists in liaison between faculty on Middlebury College campus and Madrid faculty for joint academic projects. 


Assists School Abroad Director during program excursions.


Maintains student files. 


Coordinates and cooperates with Secretary of School Abroad in creating a pleasant, efficient and well-organized office atmosphere and organization.


Performs duties related to assessment, research and development as determined by the School Abroad Director. 


Tasks include conducting oral iterviews, compiling data on student language acquisition, organizing and reporting on data and training language instructors at Spain sites in assessment procedures. 


Fulfills any other duties assigned by School Abroad Director in any other activities and aspects of the program abroad.
Summer School Responsibilities:


Assists Spanish School Coordinator with arrival and registration of graduate students. 


Handles telephone calls and correspondence dealing with the program in Spain.


Prepares student pre-departure packets including visa forms, in conjunction with the Office of Off-Campus Study and the Coordinator of the Spanish School. 


Holds abroad meetings with students and campus representatives.


Sets up student appointments with the abroad director.


Prepares abroad course descriptions. 


Keeps track of abroad course registration.


Updates executive handbook and web pages. 


Packs up and mails necessary materials to the Madrid office.


Lines up Spanish students for the graduation ceremony.

Education & Training

 High school diploma or equivalent.

Experience

3-5 years of prior secretarial/clerical experience.

Knowledge

 Knowledge of the Spanish language.

Other

Requires excellent interpersonal skills, a courteous customer service attitude towards students, efficiency and task-orientation.
