Primary Purpose

Maintains all academic records for nine summer Language Schools; seven Schools Abroad located in 28 cities; as well as five Bread Loaf School of English campuses.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

* Manages the summer and school abroad student registration and works closely with summer directors, associate directors, abroad directors and coordinators to establish accuracy of student registration information.

* Oversees the building of catalog and schedule in Banner for all courses taken abroad as institutional credit. Processes drop/add for all schools, summer and abroad. Tracks withdrawals and updates student records in Banner for all summer and school abroad students; provides appropriate information to primary responsible departments on campus. * Approves and records all transfer of credit for M.A., Master of Letters (MLITT), and Doctor of Modern Languages (DML) students.

* Enters final grades for summer session and schools abroad, and the Bread Loaf School of English.

* Oversees the processing of transcripts for all Language Schools and Bread Loaf School of English students.

* Language Schools & Bread Loaf Commencement: Responsible for ordering diplomas for five separate graduations for the Bread Loaf School of English and the graduation for Language Schools (March and August), as well as honorary degrees. Certifies the completion of requirements for degree candidates with directors, associate directors and coordinators. Provides list for schools as well as preparing the student section of the commencement program. Works closely with Assistant Dean of the Language Schools in completing commencement program. Oversees withholding of diplomas and/or transcripts for students with outstanding balances. Issues certificates of graduation and/or enrollment; provides statistics to other departments. Supervises lineup of degree candidates at August commencement.

* Processes all loan deferments for entire language community.

* Liaison with the Veterans Administration for certifying students attending Language Schools or Bread Loaf School of English.

* Edits summer student and faculty handbooks; school abroad handbooks.

* Works closely with Off Campus Study office regarding student issues at School Abroad sites such as: enrollment, withdrawal, change of program status, grades, etc.

* Member of the Language Schools Senior Staff; meets weekly with the Dean of Language Schools and Schools Abroad. Participates in the annual meeting of the abroad directors to review issues relating to students, academic policies. Attends weekly directors’ meetings during summer school.

* Attends foreign language conferences to assist in Language School and School Abroad recruiting and alumni relations. In addition, attends national Registrar’s Conference (AACRAO)

* Responsible for all student records for the American Collegiate Consortium, including the processing of ACC student transcripts.

* Assists the undergraduate record’s staff during the year, entering and proofing end-of-term grades; first-year and Feb. registration; attending registration meetings and a member of the SMIT Banner team; and helping with commencement activities.

* Performs other related responsibilities as requested.

Education & Training

Bachelor’s degree in related area.

Experience

5+ years experience in the administration of academic records required.

Strong skills in advanced use of Microsoft Office Suite (Word, Excel, etc.). Experience with academic database management. Excellent written and verbal communication skills.

Knowledge

Knowledge of Middlebury College academic policies and procedures preferred.

Other

Excellent organizational skills, attention to detail. Excellent interpersonal skills in order to provide quality customer service. Ability to work independently. Some evening and weekend work required.
