Primary Purpose

Executes a variety of technical, course scheduling, and administrative record keeping functions in support of the Registrar's Office mission to Middlebury's faculty, students, staff, and alumni.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

* Interprets Middlebury College undergraduate transfer credit policy for students, student applicants, faculty, and staff. Supports students through transfer credit application process. Posts all awarded transfer credit to student academic records carefully verifying the correct GPA calculations in coordination with the Dean of International Programs.

* Builds courses and student registrations and processes grade reports for students studying at Middlebury schools abroad in cooperation with the Associate Registrar.

* Participates in major Registrar's Office seasonal functions including arena registration and registration of continuing students, processing add/drop requests, grade entry, issuance of grade reports, and commencement preparations.

* Supports Associate Registrar (Language Schools, Schools Abroad, and the Bread Loaf School of English) with administrative tasks pertaining to the ten summer language schools including processing student registrations, transfer credit, and add/drop requests, grade entry, and commencement.

* Manages all course-related scheduling for the College.

* Responsible for use of Resource25 and its Banner interface, website maintenance, course scheduling guidelines; knowledge of room attributes, scheduling reports, and general course scheduling procedures required.

* Advises and works with faculty and academic coordinators to work through scheduling issues.

* Interprets Middlebury College Advanced Placement (AP) credit policy for students, student applicants, faculty, and staff. Guides students through the process of adding Advanced Placement Credits.

* Posts all AP credit on student academic records and notifies students credits awarded.

* Serves as primary contact for First-Year Seminar registration process.

* Facilitates online First-Year Seminar and course preference registrations for new students; identifies, contacts, and supports students who failed to register by the deadline, and manually registers students who were unable to do so via the Web.

* Finalizes registration once FYSE placements have been assigned.

* Participates in major Registrar's Office seasonal functions including arena registration and registration of continuing students, processing add/drop requests, grade entry, issuance of transcripts, and commencement preparations.

* Performs other related duties as assigned.

Education & Training

Bachelor’s degree or equivalent.

Experience

Minimum of two years experience in a college/university registrar’s office or closely related environment required.

Knowledge

Experience with academic records systems, especially Banner, required. Familiarity with scheduling software such as Resource25 desired.

Must have the ability to work independently, balancing a broad variety of priorities. Must possess a keen sense of detail, excellent critical thinking skills, and good judgment, and must possess the ability to deal effectively with a broad clientele including faculty, staff, and undergraduate and graduate students in a busy office environment.
