Primary Purpose

Provides administrative support to McCardell Bicentennial Hall building operations and to the STSS department.

Responsibilities

Works cooperatively with others and accepts direction from supervisors.

Manages the office in an appropriate and professional manner, demonstrating excellent organizational and communication skills and the ability to prioritize tasks effectively.


Interacts in a positive, helpful manner with supervisor, coworkers and others, to foster good teamwork and represent the department well.


Supervises student assistants.


Provides administrative support to Institutional Animal Care and Use Committee (IACUC):


Works with Director of Animal Programs and IACUC chair to develop and implement protocol forms and other documents, and to provide other support functions, as needed.


Develops and maintains systems for organizing training records and course rosters, working proactively to ensure that required training is performed and documented before assigning access to the Animal Facility.


Schedules committee meetings and manages communications to committee members.


Takes and transcribes minutes of committee meetings.


Serves as a resource for questions on IACUC administrative matters.


Provides administrative support for radiation safety functions:


Places orders for all radionuclides and logs receipt of shipments, maintaining a running inventory of materials on-site to ensure that the College never exceeds licensed quantities.


Manages distribution of film badges and maintenance of related personnel exposure records.


Develops and maintains systems for organizing institutional records, including licensing documentation.


Arranges for annual recalibration of survey meters.


Takes and transcribes minutes of Radiation Safety Committee meetings.


Provides administrative support for managing drugs and other controlled substances:


Places orders for controlled substances and logs receipt of shipments.


Prepares documentation for DEA, state pharmacy board, and other agencies.


Develops and maintains systems for organizing institutional records, including licenses.


Provides administrative support for McCardell Bicentennial Hall scheduling functions:


Confers with users regarding events in the building and assists in implementation of special events as needed.


Reviews and, as authorized, approves event requests for public spaces, including Tormondsen Great Hall.


Works with Director, department coordinators, and the Scheduling Office to compile course-scheduling requests and resolve scheduling conflicts among building departments.


Reviews class schedules for errors, posts copies of schedules, and ensures proper setup of classrooms throughout the year.


Reviews event schedules and works with Director, the Scheduling Office, Facilities Management, catering, and users to resolve various scheduling and setup conflicts.


Provides administrative support for McCardell Bicentennial Hall building access systems:


Manages electronic card key system, programming lock/unlock schedules, entering individual cardholder data for all student, staff, and faculty users, reviewing system operation logs, and maintaining necessary databases.


Manages the building key repository, ensuring that catalogs are updated and that the key inventory is sufficient to meet current user needs.


Issues lab, office, and classroom keys to all student, staff, and faculty users, verifying that individuals are authorized, and maintaining necessary records.


Ensures that keys and building access are ready for new faculty and staff members upon arrival.


Authorizes student fines for unreturned keys.


Provides administrative support for other McCardell Bicentennial Hall services:


Manages support for building copiers, color printers, and FAX machines, ordering supplies, providing instruction and assistance to users, and coordinating maintenance and repair requests.


Manages arrival of new faculty and staff members, providing information on building policies and assisting with any problems.


Resolves user problems with vending machines, issuing refunds, communicating with distributor's personnel, and forwarding complaints to Dining Services.


Maintains and updates building directories and signs, including entrance, floor, and telephone directories.


Answers general inquiries related to building operations and to procedures and findings of various institutional and building safety/environmental committees.


Works with department coordinators in the Bicentennial Hall CAOS group.


Maintains the building lost and found.


Provides administrative support for STSS department functions


Monitors building budget, maintaining accounting records, transferring funds, and preparing reports.


Places purchase orders and prepares vouchers.


Implements and maintains databases and other record-keeping systems related to building functions.


Forwards requests for building services from users to the appropriate department.


Drafts, prepares, and sends routine correspondence (notifications to regulatory agencies, in-house memos, etc.).


Assembles and posts information, prepares forms, stocks supplies, and maintains office files.


Participates in professional development programs.


Performs other duties appropriate to the position.


 

Education & Training

High school diploma or GED required.  Associate's degree preferred.  Must have training or experience in the computer skills outlined below.

Experience

3-5 years of administrative support experience, with 1 year in an academic environment.  Must be proficient in database design and inplementation using Filemaker Pro and Microsoft Access.

Knowledge

Computer literacy.  Familiarity with Microsoft Office and computerized database software. Able to work comfortably with other software such as Resource 25 and Lenel Access. Good writing skills. Knowledge of web page development and AS/400 helpful.

Other

Good communication and organizational skills.  Ability to function independently, to prioritize tasks appropriately and to work well under pressure.  Accuracy and attention to detail is essential.  Must interact well with coworkers, faculty, staff and students.
