Job Description Review Process

Reviews of job description changes will be performed on a monthly cycle in all months except June and approved changes will be implemented in the first pay period of the month following the review.

The Process

To request an update to a job description the supervisor for that position must request a job description and/or band/level change in PeopleAdmin. The instructions can be found here. The request will then be reviewed by Human Resources to evaluate the job description contents and compensation implications. In addition, an area approver for your department and the Vice President for your area may need to approve the request depending upon the changes that are requested. Any changes to the employee’s position will be made effective the beginning of the first pay period of the following month.

Special Process – Fiscal Year End

No job description reviews will be conducted in June.  This moratorium is necessary to allow the annual salary increase to move forward based on fixed data.  Job description requests received between May 16 and June 15 will be reviewed in July and implemented in August.  Any delayed salary increases as a result of a reclassification will be retroactive to the start of the first full pay period in July.

Appeals

If necessary, the manager may submit a written appeal of a job’s band and level using the information in the Job Content Framework.

The appeal and the revised job description will be reviewed by the Compensation & Benefits Manager to determine whether the proper placement was made.  The determination of the Compensation and Benefits Manager will be final.
