Primary Purpose

Manages the Commons Office in all of its functions and related activities.  Assists Commons team with residential operations and programming.  Provides administrative support for Commons Dean, Commons Head and Commons Council.

Responsibilities

In addition to participating in Commons administration meetings, team meetings and various system support meetings, the Commons Coordinator's responsibilities include but are not limited to the following:

Residential:

*Maintains dorm damage system, investigates damage with residential staff and acts as liaison with Facilities Management.

*Assists Dean and Commons Head in recruiting/interview process for residential staff.

*Assists in supervision of Commons Residential Advisor and residential staff.

*Assists the Dean in planning, organizing and implementing Annual Residential Life
  Orientation.

*Assigns First Year roommates and housing.

*Organizes Feb & Sept. First Year Orientation Welcome Center.
  Distributes packets & keys to incoming First Year students.

*Plans, organizes and executes Sophomore Room Draw.

*Helps to coordinate fire safety checks.

*Records room changes and oversees room check-in/check-out procedure.

Programming:

*Schedules and oversees Commons space.

*Helps to organize and plan events with Commons team.

*Communicates with other campus offices (Dining, Facilities Management,
Events Management, LIS etc.) as needed for event programming.

Budget:

* Reviews, monitors and tracks all Commons operating budgets and procurement card expenditures. 

*Processes vouchers, journal entries, purchase orders and receipts.

Students:

*Hires, supervises and evaluates student office workers, manages payroll.

*Tracks students in poor academic standing.

*Processes requests for student verification letters/forms.

*Makes appointments between students and the Dean.

*Facilitates student address change requests.

Communications:

* Manages and updates Commons Web page.

*Coordinates the publication and distribution of the Commons newsletter.


Tracking Systems:

* Disciplinary outcomes

*Alcohol citation system

*Course warnings

*Public Safety reports

Interpersonal:

*Provides outstanding customer relations with students, staff, faculty and parents.

*Meets with other Coordinators to discuss systems and maintain consistency between Commons.

Education & Training

Associate's degree or equivalent experience required.  Bachelor's degree preferred.

Experience

3-5 years administrative experience required.  Supervisory experience preferred.

Knowledge

Advanced computer skills required, utilizing the following programs: Microsoft Office, Outlook, Filemaker Pro, Banner, Hyperion, Drupal and Web applications.  Knowledge of College policies and procedures helpful.

Must handle confidential information in a discreet fashion.
