Updating Applicant Statuses

As applicants are reviewed and evaluated, the hiring manager should move applicant records into different statuses based on their current state in the recruitment process. Applicant correspondence is an automated process in PeopleAdmin and occurs based on these status updates, so it is really important for hiring managers to manage their applicant statuses throughout the hiring process and not just when the hiring campaign is complete.

  1. Log in to PeopleAdminSelect the Student Supervisor user group.
  2. Navigate to the Applicant Tracking module by clicking in the drop down list below the PeopleAdmin logo on the right hand side of your screen.
  3. Click on the Postings tab at the top of your screen. All of your active job postings should now be listed at the bottom of the screen.
  4. Click on the posting for which you wish to review candidates.

Updating Applicant Statuses as a Group

  1. Click on the Applicants tab.
  2. Use the More Search Options button to select the workflow state(s) that need to be updated. This will narrow the list of applicants down to only those that need to be moved to another workflow.
  3. Select all of the applicants for whom you wish to update their status by clicking on the check box to the left of their name.
  4. Click the Actions button above the list of applicants on the right hand side of your screen and select "Move in Workflow".
  5. Select the appropriate workflow for each applicant from the drop down list. When you select a “Not Hired” option you will also be prompted to enter a Reason from the drop down list.
  6. When you have updated all of your applicants click the orange “Save Changes” button at the bottom of your screen.

Updating Applicant Statuses Individually

  1. Click on the Applicants tab.
  2. Click on the applicant record for whom you wish to update their status.
  3. Click on the orange “Take Action on Job Application” button in the upper right hand section of the applicant view screen
  4. Select the appropriate Workflow Action status that you wish to move this candidate to based upon the results of your review.
  5. Click the Submit button on the Take Action dialog box that will appear to confirm the status change.
  6. To return to view the rest of the applicants. Click the text “Applicant Review” at the top of the screen. These are called “breadcrumbs” and allow you to navigate from within a process.
  7. Repeat for each applicant that you wish to change statuses for. Please plan to continue this process as your search progresses.

Workflow Action options and the resulting communications to the applicant:

  • Not Interviewed, Not Hired – applicant will receive an IMMEDIATE email.
  • Interviewed, Not Hired - applicant will receive an email when the hiring campaign is complete and SEO has moved the position to 'filled'.
  • Not Hired, No Email – applicant will NOT receive an email. Use this option if you personally notify candidates and do not want them to also receive an automated email message.
  • Hired - applicant will not receive an email because they were offered, and accepted, the position.
