Share files/documents with others (individuals/groups)

Technologies:

How you share one or more documents or files depends on:

  • How many documents/files you want to share
  • The number of people you want to share these with
  • What these people have in common

If you want to share many documents with anyone, best tool to use is a web site.  If you want to share a lot of files only with a particular group of people, best to chose a web-based tool that supports limited access.  If you want to share just a few files with a particular individual or group and these files are not too large, sending the files as email attachments may be a good option.

What you need:

What you need again depends on how many files and people are involved.  It is recommended you use email only for small files or small numbers of files.  More and more of what used to be done via email can be more easily and efficiently done through websites.  The one exception to this rule is the exchange of very large files.  To share large files it may be best to connect to a college server via the college's intranet (locally accessible network) and upload the file to a server location that those you want to share with also have access to.

How you do it:

Sharing via email:

  1. Create a new email message and include in "to:" field all the individuals/groups that you want to share file(s) with (keep in mind there are limits to the size of files you can share via email).
  2. Chose to "attach a file" or "add attachment" and browse to file(s) on your computer
  3. Give your email a subject and describe the file you have attached and why you are sending it
  4. Click the "Send" button

Sharing via a web site:

Most tools for creating websites such as  WordPress allow you to upload files and include in posts or content blocks on your site.  All of these tools do have limits on the "amount" of files you can include on a given site.  This "amount" is usually displayed in the site's media library.

Sharing via servers:

Very large files are best shared by uploading them directly to a server using a file-sharing protocol such as samba or ftp.  For sharing large files with students in a class, using the classes server as follows:

Mac:

  1. Chose Go > Connect to Server
  2. Type in the classes server address:
    smb://middfiles.middlebury.edu
  3. When prompted to Select the volumes to mount chose"
    middfiles
  4. When prompted type in your Midd username and password
  5. Once mounted locate your class in the classes folder/directory
  6. Drag file(s) to be shared into the "Shared" folder in your class folder

Windows:

  1. Chose "My Network Places"
  2. Type in the following:
    \\middfiles\classes\
  3. When prompted type in your Midd username and password
  4. Once mounted locate your class in the classes folder/directory
  5. Drag file(s) to be shared into the "Shared" folder in your class folder

Tips and suggestions:

  • Use email only for sharing small files with specific individuals or groups
  • Use websites to share most files (except very large files) with anyone or specific groups
  • Connect to a Middlebury server directly to upload and share large files with individuals/groups
