Please complete these steps in PeopleAdmin as soon as you are ready to hire a student applicant.

If a Hiring Proposal is submitted for a student who does not have a Blue Card, they will receive an invitation from HireRight to complete their I9. The student must complete the I9 within three days of beginning employment. Tax documents and other onboarding requirements will be provided via Oracle Onboarding.

 

Submit a Hiring Proposal

  • Log in to PeopleAdmin
  • Select Student Supervisor from the user group dropdown. (This is the drop-down field below your name.) A notification message will display at the top of your screen to verify this update.
  • Navigate to the Applicant Tracking System module by clicking on the three ellipses in the upper left hand of your screen and above the Middlebury logo.
  • Select Postings - Student.
  • Confirm that the Workflow State in the search box is Posted. Click Search. This will show you all posted positions that you supervise.
  • Select the posting you wish to hire for and navigate to the applicant tab.
  • Click on the applicant whom you wish to hire. Click on the orange button to Take Action on Job Application and select Further Consideration.
  • You will now view an option to Start Hiring Proposal. Click on the link next to the green plus sign to begin the hiring proposal. The proposal will default in important info about the student you are hiring; you MUST provide the position number (9XXXXX) in the appropriate field, start date and supervisor name. Without this information, SEO is unable to process the proposal. Add any additional comments, as needed.
  • Click the Take Action button from the Summary page and select Send to Student Employment.

The hiring proposal will now be reviewed by Student Employment and the information inputted into Oracle HCM.

Notifying Your Other Applicants

To complete the process, close out your posting and notify all applicants that the position has been filled. You will just need to confirm that you have assigned a workflow state for all of your candidates. 

  • Log in to PeopleAdmin
  • Select Student Supervisor from the user group dropdown. (This is the drop-down field below your name.) A notification message will display at the top of your screen to verify this update.
  • Navigate to the Applicant Tracking System module by clicking on the three ellipses in the upper left hand of your screen and above the Middlebury logo.
  • Select Postings - Student.
  • Select the applicants tab. The only applicant who should display is the new hire (with a workflow state of “Hired”). If you see any other candidates on this page, you need to assign a workflow state for them.
  • Click on the applicant and click the orange button Take Action on Job Application. Select the appropriate settings for this applicant. Valid selection options at this point include:
    • Reviewed, Not Selected: Applicant will receive a targeted email when employment moves the position to filled
    • Not Interviewed, Not Hired: Applicant will receive an immediate email
    • Interviewed, Not Hired: Applicant will receive a targeted email when employment moves the position to filled (available when candidate status is Interviewed)
    • Not Hired, No Email: Applicant will not receive an email. Use this option if you personally notify candidates and do NOT want them to also receive an automated email message.
