Room Draw

Basics

Students should make room draw plans based on friendships and not on the hope of living in a suite or other particular type of housing.  Students who make arrangements based on a low random number to share a space with students who are not close friends and have different life styles often end up being dissatisfied with the arrangement.

All housing assignments made during Room Draw processes are final.

Students must reside in their official room and may not switch rooms without prior consent from the appropriate college official.  A change of residence without authorization may result in disciplinary action.

Students MAY NOT switch rooms (even in a suite/block or house) without receiving prior approval and having their BANNER housing records updated by the Residential Systems Coordinator or Commons Coordinator. 

All room keys MUST be returned to Public Safety and new room keys MUST be signed out from Public Safety.  It is against college policy for students to switch keys between themselves.

Manipulation of the Room Draw process is a serous matter and could result in college discipline.

Preparations

Preparations for room draw begin in March including:

• Sub-Free/Quiet House assignments are awarded
• Residential Life positions are filled
• Social and Academic Interest Houses must provide complete housing rosters
• Super Blocks are awarded
• Fall Term Off Campus lottery is held

Members of Social Houses may not participate in any other housing process unless the House can fill all their beds by the deadline.

Students may only submit their names on one type of housing application, i.e. Super Block, Social House, Off Campus application.

All students awarded a bed in any of the above processes are ineligible to participate in subsequent Fall Term housing processes and will not receive the random number email message.  Students with financial holds will not be able to participate in the Room Draw process; questions regarding financial status should be directed to the Student Financial Services office.

Students approved for an off-campus study program are ineligible for all Fall Term housing procedures and will not receive the random number email.

Random Numbers

Students eligible to participate in either the On-Line or Live Sophomore draw will receive an email regarding their Random Number, (see Calendar for date).

Random Numbers are assigned separately for junior/senior and sophomore groups.  Sophomore numbers are relevant to a student's commons, i.e. an Atwater and a Brainerd sophomore could both have the number 25.

All students are assigned a random number; not just those eligible to participate in the draws.  It is therefore important students realize the inactive numbers will have an effect on their own position in a draw and there is no way of calculating chances.

Note about FEBS: Random numbers are based on a student's graduation year. FEBs are placed on an even playing field with first-year REGS from the time they are rising sophomores. Senior FEBs will receive a number in the group with the regular seniors, i.e. 2013.5s with the 2014s.  A student receives a number based on the year of their graduation regardless if they will graduate as a FEB or in May.

Transfer Students receive a Random Number with the class to which they are affiliated as recorded in BANNER. If a student has concerns or questions about his or her class ranking they must speak with the Registrars office. It is a student's responsibility to have their information updated in a timely manner and there is no guarantee that a new Random Number will be provided if a student's records are changed after the Random Numbers are generated.

Following the above preliminaries an On-Line Room Draw process is held for rising seniors and juniors.

Seniors and Juniors may apply for housing in any available location but retain the affiliation with their original commons.

Commons affiliation does not have any impact on senior/junior room draw assignments. Students work with the Residential Life staff responsible for their residence but rely on their commons office for individual support.

There are four separate draws which take place in the following order:

• Large Block - 6 to10 beds
• Small Block - 3 to 5 beds
• Singles - beds awarded as individual spaces
• Doubles - two bed combinations including some sink-mates, 2-room doubles and true doubles

When (and only when), one of the above four draws is open to receive applications, will students be able to view and enter applications for a particular draw; see calendar.

Whenever possible applications should be submitted at the start of a draw's application submission period so any problems can be dealt with in a timely manner.  This is NOT a first-come/first-serve process.

Each group should choose one student as their Student Representative (does not need to be the student with the lowest random number).  The Student Rep enters housing applications by signing on to their Self Service BANNER (SSB) page (use the "Quick Links/BANNER Web links on the bottom of any College web page), and accessing the housing applications under the housing tab on their personal information tab.

Students are encouraged to submit applications for numerous spaces but be careful NOT to submit an application for a space in which they would not wish to reside.  Remember, rooms awarded during a draw are final! Do not fail to enter an application because you do not think you/your group has a chance - you may be pleasantly surprised!

Spaces will be awarded based on seniority in combination with lowest random number.  Applications for doubles will be awarded based on the lowest Random Number of the two students.  Students can only submit applications for doubles with one other person.

Applications for suites/houses/mods and blocks will be awarded based on the group with the lowest year total (i.e. four 2014 students before three 2014 and a 2015 student) in combination with the lowest Random Number.  EXAMPLE:

4 x 2014s = class year total of 8,056 - THIS GROUP'S REQUESTS WILL BE CONSIDERED FIRST
3 x 2014s (6,042) + 1 x  2015 = class year total of 8,057  - THEN THIS GROUP'S
2 x 2014s (4,028) + 2 x 2015s (4,030) = class year total of 8,058 - THEN THIS GROUP'S

ALL ASSIGNMENTS ARE FINAL.

In late April Live Sophomore Draws are held for rising sophomores by their commons.

Any student not assigned a bed by the end of the room draw process will be housed during the Summer Housing process which takes place in late August.
