Posting Positions to Workable

If you are hiring a student who is new to a position, the position must be posted on Workable, our platform for advertising positions and hiring students and staff. Postings are closed at the end of every academic year and summer, so a new request is required to repost positions each year.

To request an existing position be posted, or to create and request a new position, please complete the Position Posting Request Form

There are two types of position postings, externally or internally.

  • Externally posted positions appear on the public-facing careers page.
  • Internally posted positions appear on the Workable Referrals page. This page is available through single sign-on (SSO) and only accessible to students through the Referrals page.

Please note that we are not able to create private links to positions. If you have already identified a student to hire and the position is intended to be invitation only, please note this on the position posting request form and we can include that information in the posting.

Hiring Student Employees

If you are rehiring a student into the same role they held in the previous academic year or summer, they are considered a rehire. For more information about rehires, follow these steps to rehire a student

To hire students who are new to a position:

  1. Open Workable.
  2. Click the Jobs tab at the top of the page.
  3. Jobs you have access to will appear at the top, showing a preview of candidates in each stage of the hiring process. (applied – interview – student hired – hired) For jobs you don’t have access to, only the job title will be visible.
  4. Click on the job title to open the position and view applicants.
  5. After reviewing applications, identify the student(s) you wish to hire. Under the Profile tab and complete all of the hiring details fields. The hire date can be any day of the week, but it must fall in a future week. Weeks start on Monday.
  6. Use the green drop-down action on the top right of the candidate’s profile and select “Move to Student Hired.”
  7. Our team will then complete the necessary details to process their hiring in Workable and set the individual up in the position in Oracle.

Students cannot begin working until they have been hired by Human Resources. The candidate must be in the Student Hired status with completed hiring details by Friday at 3:00 pm EST in order to start work the following week. All data is processed on the following Monday and access to that assignment in Oracle HCM is available to the student on the subsequent Wednesday.
