Printer & Copier Accounts

Students

All students start each term with quota amounts given to them to cover their printing and copying.  To cover thesis work, seniors are given double funds:
Fall term                      $30 (seniors $60)
Winter term                  $12 (seniors $24)
Spring term                  $30 (seniors $60)

PaperCut Semester (term) dates are:
Fall:                            August 21 (start) through December 31 (end)
Winter:                        January 1 (start) through January 31 (end)
Spring:                        February 1 (start) through June 4 (end)
Language Schools:       June 5 (start) through August 20 (end)

Unused balances roll over to the following semester until the end of the student’s enrollment at the college, whether it end upon graduation or earlier. At that point, the remaining balance is forfeited. No refunds will be granted.

Adding Funds
A student may add additional money to his account at any time by purchasing a PaperCut cash card at Wilson Cafe in Davis Family Library, MiddXpress in McCullough, or the College Store in Proctor Hall. Unused balances roll over to the following semester until the end of the student's enrollment at the college, whether ending upon graduation or earlier.  At that point, the remaining balance is forfeited.  No refunds will be granted.  Credits will, however, roll over for graduating seniors who immediately commence studies at our language schools.

Poster Printing for a Class
A professor may request additional funds be added to students’ accounts if their course demands printing posters on a plotters in Armstrong Library or The Davis Family Library’s Wilson Media lab.  To do so, once a term, at the end of the add/drop period, the professor (or coordinator) must send a list of student names, student IDs, the amount to be added to each student account, and the Banner index that will cover this expense.  The students on the list will have their quotas increased by that amount.  Students should consult with the professor if they feel the amount is insufficient.  If the professor agrees, she should forward, to print@middlebury.edu, a copy of the original e-mail with a request to add an additional amount to the same student accounts.

Refunds
Students should request refunds when a machine is producing unusable or damaged pages.  Refunds are not given for user error (duplicate printing, selecting wrong printer, etc..)

To request a refund follow these steps:

  1. Logon in PaperCut
  2. Select Recent Print Jobs.
  3. In the column of the problematic print job, select Request Refund
    Refund Request displays with details on your job in question.
  4. In the Refund Amount box select Full amount or Partial amount
    If selecting Partial amount, enter the amount you are requesting as a refund.
  5. Enter the Reason for Request information
  6. Press the Send button.

Your refund request will be corroborated with machine malfunction reports and processed within one business week. 

Spring Symposium

The Undergraduate Research Office (URO) covers the cost of printing a poster for the Spring Symposium.  You will receive a username and password from the URO for this.  Contact the URO with any questions.

Student Workers

Students who are employed at the college and expected to print while working should consult their supervisor about printing through a generic department account.  Student workers who choose to use their quota, rather than using a generic department account, will not be reimbursed or refunded for work printing/copying.

Students who are expected to copy items as part of their job should consult their supervisor about copying.  The manager will provide a code to use on their copier.  Students who prefer to use public copiers for their work items will not be reimbursed for using their quota.

Student Employers

Students should not be required to use their personal accounts for job-related printing and copying.  Supervisors who require either as part of a student’s duties should provide student workers with

  • their department’s generic account information for printing
  • a copier code for use on the department’s copier.

Privileges of a generic print or department’s copier accounts should not be exploited. Supervisors of student employees are responsible for tracking print and copy jobs to ensure they are work-related.

Faculty & Staff

Faculty and staff are not charged for printing, although they are using their individual PaperCut accounts.  Printing through PaperCut allows Printer Management to track the amount and type of usage printers across campus, allowing for effective maintenance.

Many offices and departments have shared network printers. These can be added to the printer list on any college-owned computer (for personal computers you must use Web Print). The Helpdesk wiki provides instructions on adding a printer to a Mac or a PC.

Faculty and staff departments are charged for copying.  Employees’ ID numbers should be programmed into each department copier, which provides access for faculty and staff members.  Faculty and staff are charged against the Banner index provided to Printer Management.

If a printer or copier is not working properly, please let the Helpdesk know so it may be returned to service as quickly as possible.

Guests

Guests wishing to use college machines for printing must create and maintain a guest PaperCut account, against which their pages will be charged.  They have access to specific printers.

To create or add funds to a guest account, guests must purchase a PaperCut cash card at the Wilson Café in Davis Family Library, MiddXpress in McCullough Student Center, and the College Store in Proctor Hall.  

Guests must use a college networked computer to apply the cash cards:  open a web browser by navigating to the PaperCut user login page or Go/PaperCut.

Note:  Guest accounts will be removed from the college system, upon review, if an account was created but didn’t have funds added to it, has a balance of less than $1.00 but unused for six months, or has a balance of $1.00 or more but unused for two years.

Refunds
