Event hosts hold a pivotal role in the execution of successful events.

Event hosts are responsible for:

  • Attending, for the entire duration of the event, any event for which they are listed as the host.
  • Ensuring the event and attendees comply with Middlebury Handbook policies.
  • Ensuring the event and attendees abide by all federal, state, and local laws and regulations, including applicable noise ordinances, and providing a trained crowd manager(s) if needed.

Event hosts may be required to provide additional event support measures as determined by the Department of Event Management, the Event Protocol Committee, or the Department of Public Safety.

Faculty and staff are obligated to report suspected violations of these standards promptly.

If an event requires support from an external contractor:

  • Event hosts are responsible for coordinating and signing contractual agreements with external contractors.
  • Event hosts are responsible for all costs associated with external contractors supporting an event.
  • Hosts are responsible for complying with the College’s independent contractor policy.
  • Contracts with external contractors should not be signed until the event requestor has an official event confirmation from the Department of Event Management.

If an event requires a public assemblage permit, the host must submit a permit application to the Town of Middlebury. If a permit is granted, the event host must share a copy of the approved permit with the Department of Event Management.
