Before You Start 

  1. Review Welcome Email. Expect an email titled, “Onboarding Next Steps” from Oracle (egqw.fa.sender@workflow.mail.us2.cloud.oracle.com).
  2. Activate your Middlebury Email account. Expect an email titled, “Welcome to Middlebury – Account Activation Information Enclosed” to the email address used on your application.
  3. Activate Middlebury Multi-Factor Authentication. Instructions are available here.
  4. Log into Oracle HCM and begin your Onboarding Journey. HCM is our HR Information System, used for storing employment info, processing payroll, etc. Please read this before logging into Oracle to avoid locking your account! Once logged into Oracle, you will see “Journeys” on the home page under the “Me” tab. More information about onboarding tasks may be found here. Please note that some tasks will not be available until your first day of employment.

Accessing Oracle:

  • Complete steps above first!!
  • Log into Oracle: https://myapps.microsoft.com/gmhec.org (bookmark this page)
  • Enter Middlebury email credentials here and it will prompt you to do Multi-Factor Authentication
  • After you login, you should see some different apps appear. Click the dark blue Oracle tile, then click “Company Single Sign On”. Do not enter a username and password here.
  • Next, from the home page in Oracle, Click the “Journeys” app (the compass icon)
  • You should have an onboarding journey assigned to you here. Go through each task (listed below for reference) under journeys and click “go to application task” and confirm each task is complete and your info is on file. For each task, you will need to click the link and then go back to the Journey’s tab to mark it as “Done” once the task is completed.

Required Tasks to complete in Oracle:

These tasks will be available in Oracle HCM on the “Me” tab under “Journeys”. 

Acknowledgement

  • This task will direct you to review and acknowledge important employment paperwork.

Contact Information

  • This task will bring you to the page where you will review and edit (if needed) your contact information. You can also add other addresses and phone numbers in this section as well by clicking the “Add” button. A cell phone number must be listed in Oracle to receive Middlebury Emergency Notifications (MIDDAlert/MIISAlert).

Family & Emergency Contact

  • This task will ask you to update and/or add your emergency contact(s). 

Health Declaration (VT Employees Only)

  • This task will ask you to complete the Health Declaration form. You may complete the form electronically and upload it to the Oracle onboarding task. All employees working in Vermont need to complete this form annually.

Personal Information

  • This task will bring you to the page with your personal information details. Please review and edit appropriate data as needed.

Sign up for Direct Deposit of your Paycheck

  • This task will bring you to the page where you will input your direct deposit information. Instructions for adding direct deposit may be found here.

W-4 Tax Withholding

  • This task will direct you to the page where you will update your tax and withholding information. Instructions for completing this task may be found here. You may complete this task beginning on your first day of employment.
