Position Request Process

Use this process for budget-neutral vacancy replacements or re-organization, and fully grant, gift, or endowment funded positions.

Please note that requests for new positions, promotions, or vacancy replacements that are budget additive will be reviewed twice a year. Leaders must work with their Vice President to submit the request. Please contact your Human Resources Business Partner  for assistance.

Position Request Steps:

  1. Initiate Request: Following a discussion with the responsible VP and your Human Resources Business Partner, submit a request using the Benefits Eligible Position Request Form.
  2. Job Description and Compensation Review: Human Resources determines the job number, grade, and hiring range based upon our staff compensation program.
  3. Budget Review: The Budget Office will confirm the availability of funds when applicable.
  4. Ways & Means Committee (WMC) Review (staff positions only): HR will gather and summarize all VP/SLG endorsed requests for review with the WMC committee, when applicable. 100% grant funded positions and student employees will not be subject to WMC review.
  5. Final Decision (staff positions only): WMC will review requests in consultation with the responsible Vice President and make a final decision on the request.

Posting

When a position has been approved, Human Resources will work with the Hiring Manager to post the position and set up a kick off call. The Human Resources Business Partner and Talent Acquisition Coordinator in Human Resources will partner with the Hiring Manager throughout the search.

Travel Cost Policy for Candidate Interviews

The HR recruitment budget can support one visit to campus for (up to) two candidates per search. Any additional travel will be at the expense of the hiring department.The hiring department is responsible for making travel arrangements on behalf of the candidate.

Making a Job Offer

When you have decided on a candidate, you can work with your HR Business Partner to make the offer.

New hire start dates for benefit eligible staff follow a set calendar of the first Monday of every pay period. Please see Pay Calendars Page for reference.

All benefit eligible positions are contingent upon the successful completion of reference check and background check. 

New Employee Orientation

All benefits eligible employees will begin their employment by participating in New Employee Orientation. which is the first Monday of a pay period.

All new hires will be assigned an onboarding checklist in Oracle HCM. The onboarding checklist includes necessary employment paperwork to complete, along with required online training courses.   

Leaders should use the Hiring Leader’s checklist as you integrate your new employee into your department.
