Before You Start 

  1. Review Welcome Email. Expect an email titled, “Onboarding Next Steps” from Oracle (egqw.fa.sender@workflow.mail.us2.cloud.oracle.com).
  2. Access your Middlebury Email account. 
    • If you already have an active Middlebury email account: You should be able to log in with your existing credentials. If you need to reset your password, instructions can be found here.
    • If you do not already have an active Middlebury email account: You will receive an email from the “Helpdesk” with subject “Welcome to Middlebury – Account Activation Information Enclosed.” Follow the instructions in the email to activate your account and set up Multi-Factor Authentication (MFA). 
  3. Log into Oracle HCM with your Middlebury credentials and begin your Onboarding Journey. HCM is our HR Information System, used for storing employment info, processing payroll, etc. Please read this before logging into Oracle to avoid locking your account! Instructions for logging in are available here. Once logged into Oracle, you will see “Journeys” on the main “Me” tab. More information about onboarding tasks may be found here. Please note that some tasks will not be available until your first day of employment.

I-9 Eligibility Form

  1. Complete your I9. Expect an email from HireRight titled “Middlebury College Employment Eligibility (I-9) Form”. Use the link to complete Section 1 of the I9 on or before your first day of employment. Then visit Human Resources by your third day of employment to complete Section 2 of the I9 employment verification as required by federal law. Click here for a list of acceptable Section 2 documents. We can only accept original copies no scans or pictures.

*Some returning employees may not need to complete the I9 if returning in a certain timeframe. If you do receive the invitation from HireRight you are required to complete the I9.

Your First Week

  • Obtain your ID Card
    • Vermont-Based Schools and Programs Employees: You are eligible for a College ID, called a MiddCard. Your MiddCard will allow you to access the fitness center, the natatorium (pool), and other athletic facilities, plus provide you with discounts to sporting events and cultural performances, as well as give you discounts at the College bookstore. The ID will also provide you with door access to mixed-use buildings on campus, if required for your job.  
    • Middlebury Institute Employees: Please visit the Security Office within two weeks of your start date to pick up your ID. ID cards must be worn on a lanyard while on campus. 
  • Register your car for a parking permit

    • Vermont-Based Schools and Programs Employees: Permits are required on all vehicles parked on campus. 
      • Register your vehicle and purchase a parking permit via the parking portal. For parking guidelines visit the website here.  
      • You will receive a temporary parking permit to print out while you wait for your permit to be mailed to you. 
    • Middlebury Institute Employees: Remember to pick up your employee parking sticker if you plan to drive to campus. You must live more than 1.5 miles from campus to be eligible for a parking sticker.

      • Visit the Security Office (460 Pierce Street, next to the Lara Soto Adobe) with your MIIS ID Card, proof of car insurance and registration, and proof of address more than 1.5 miles away from the campus.
